We operate a hybrid working model at IBKR, so you will commute to our fantastic central London office (on Fenchurch Street) three days a week. In addition, you will be pleased to hear we offer lunch every day you are in the office from a selection of vendors.
Key Responsibilities
- Outlining Board and Committee meeting agendas
- Taking minutes and maintaining minute books
- Responsible for training of Corporate Secretary Assistant based in the UK
- Preparing Board and Committee Resolutions, undertaking company Register filings, maintaining statutory registers and constitutional documents
- Liaising with regulators and external auditors to address company secretarial queries and engaging with them regularly
- Maintaining Board and Committee action logs
- Assisting with the design, buildout and maintenance of the Company Secretary Group in Europe
- Working on governance projects that involve other Interactive Brokers entities as needed
- Preparing and distributing meeting packs
- Setting and managing the annual calendar of Board and Committee Meetings
- Monitoring key corporate governance developments on an ongoing basis
- Assisting the Management Team in day-to-day corporate secretarial activities
- Providing advice and assistance on company secretarial issues to various business areas
- Assuring consistent application of content structure conventions for policies, procedures and other documents across multiple Interactive Brokers entities
- Conducting gap analysis reviews to assess the effectiveness of controls to ensure ongoing compliance with corporate governance requirements
- Developing and maintaining systems for records and databases as required
- Supporting the group-wide initiative for policy harmonization
Qualifications and Experience
Technical Qualifications:
- 3 to 5 years experience of working in a Company Secreteriat role
- Diploma or higher in Governance, legal or business studies
- Have a keen interest in and willingness to obtain further Corporate Governance qualifications
- Proficient in Word, Excel, and PowerPoint
- Excellent research and analytical skills
- Full proficiency in English, both written and verbal

- Ability to work independently and as part of a pan-European team
- A wide degree of creativity and latitude is expected
- Strong attention to detail and focused accuracy
- Effective time management and organisational skills with the ability to work under pressure and on own initiative

9 am – 6 pm, Monday – Friday (times may vary depending on business needs)
