Executive Assistant to General Manager of France

 

THE ROLE

Our GM of France oversees everything within our French market and reports into our Chief Operating Officer. The GM covers all areas of the business from marketing, commercial, operations and much more! As our teams grow, maintaining and nurturing our culture and keeping everything running smoothly is no small task!

 

You will play a fundamental role supporting the GM by ensuring operations are organised, well-managed and the continuously-changing-day runs smoothly and without a hitch! You should be a self-starting EA who is confident, articulate, professional and who has the ability to instil calm and order to a busy and fun environment. Ultimately, you will make our GM better at their job by doing your job.

KEY RESPONSIBILITIES

  • Provide all encompassing administrative support to our GM, be their primary point of contact for all daily administrative needs. Staying organised, up to date and one step ahead are essential 
  • Managing the GMs busy calendar dealing with all meeting requests and demands on their time - ensuring that each day is optimised and the most efficient use of the GMs time
  • Being proactive - looking ahead and ensuring everything is in place (is the GM properly briefed on each meeting, has adequate prep time been diarised, who ‘owns’ and hosts the meeting, what are the aims / outcomes of the meeting) 
  • Help build great working relationships within our teams and with our external partners - ensuring meetings and site visits are well organised and communicated 
  • You’ll be at the heart of our team’s operations. You’ll help us build a strong team dynamic and culture, ensure day-to-day operations run smoothly  - come up with exciting and creative ways to celebrate events and moments important to the team culture and people ‑ such organising celebrations for birthdays, anniversaries and other special occasions
  • Assisting in recruitment and onboarding new hires: working with recruitment to help organise interviews for the GM
  • Office meeting room coordination, being aware of hybrid team working and who is in office versus who is working remotely
  • Planning of domestic and international travel, booking flights, hotels, trains, taxis -  ensuring all logistics are executed and clearly detailed in the diary. Approving travel bookings for the GMs direct reports in line with the company travel policy
  • Organising offsites and internal team events including quarterly team socials
  • Raising Purchase Orders (POs) and ensuring invoices are submitted and approved via the process in a timely manner
  • Checking and forwarding daily office mail to relevant departments and team owners 
  • Submitting expenses on behalf of the GM and ensuring spend is within policy, approving travel bookings for the GMs direct reports.
  • Monitoring and approving team holiday requests - ensuring calendars show when people are expected to be out of the office
  • Live our values, encourage others to do the same 
  • Constantly scan our company communications to ensure our busy GM does not miss key threads of issues, concerns or things to celebrate and share with the team
  • Be emotionally intelligent: handle all duties with the highest degree of confidentiality, professionalism, diplomacy and integrity - be aware of your impact on others (if you are moving meetings around, soften the impact)
  • Regularly liaising with colleagues from HQ London and our international offices and working with other market time zones
  • Working with other EAs in our business to ensure nothing falls through the cracks and updates are shared
  • Generally be friendly and have a love of being helpful - we still feel like a start-up and need everyone to “muck in” when needed (however big or small the task)

 

QUALIFICATIONS / SKILLS / COMPETENCIES

  • 2+ years experience supporting at at Director level
  • Tech savvy - proficient working knowledge of Google for Business and Microsoft products (GMail/Docs/Drive/Sheets and Word/Excel/PowerPoint etc), Slack and Workplace 
  • Ability to work intelligently across the company to assess and anticipate the requirements of the GM
  • Superb written and verbal communication skills in both French and English 
  • The ability to multitask under pressure  
  • Comfortable with change and to be able to adapt to any given situation

  • Experience in fast-paced, sometimes stressful environments
  • A self-starter with a can-do attitude, who doesn’t need hand-holding (although you will have lots of support and people willing to pitch-in along the way!)
  • Appreciation of the objectives, activities and strategy of the company
