This role will draw on your range of skills; you’ll be an events planner, executive assistant and facilities manager rolled in to one. You will be confident in communicating with all levels across the business, juggling conflicting priorities and supporting our senior leaders who have busy schedules.

What you’ll be doing…
Provide administrative support to the CEO and leadership team - working with them to ensure they are organised at all times - helping them manage busy and ever-changing calendars (from meeting requests to scheduling interviews, arranging conference calls and so on)
Book national and international travel, accommodation, car services; ensuring appropriate visas are obtained.
General help managing documentation, creating presentations, claiming expenses, proof-reading, budgeting and raising POs
Support the leadership team across all departments in planning and executing offsites for our teams, from venue hire, food delivery and evening events - your inner event planner would thrive on this
Support our offices in Melbourne, Sydney, Brisbane & Perth; being the point of contact for all facilities requests, liaising with building management, managing vendors while ensuring compliance and safety standards are adhered to through monthly auditing.
Working with our facilities teams on office relocation and space planning - ensuring we always have an environment which allows us to Think Big!
Maintain and upkeep the office including all amenities to ensure they are in a presentable condition and support a productive working environment.
Manage ordering Friday lunches from our restaurant partners in addition to ensuring that our pantry is stocked with healthy snacks and drinks for our teams.
Manage our local accounts payable inbox and work closely with our finance team to ensure our suppliers have PO’s and are paid on time.
We succeed as a team; you will collaborate across cross functional teams including the People Team, IT & Security to ensure our team are supported and all office needs are met.
We never say it’s not my job and live this value to the fullest, being able to jump in when and where required for projects and adhocs tasks.
Skills you’ll need…
Proactive problem solver; you need to think ahead and act on your ideas, anticipating issues before they arise
Organisation skills are absolutely critical and the ability to manage multiple calendars
Ability to remain calm under pressure in a forever changing environment
Resourceful and anticipate the needs of others
You’ll have facetime with senior leaders, so you’ll need to be confident and clear at communicating
Ability to manage your time and ruthless prioritise
Proficient in Google for Business and Microsoft products (GMail, Google Docs, Word, Excel, PowerPoint etc), Slack and Workplace
Ability to adapt to change and move quickly
