We are looking for a dynamic Stock Plan Administrator to support Smartsheet's global stock plans. You will manage the administration of our global broad based stock programs and associated systems. We are growing fast, and you will have the opportunity to shape how we build and manage the global stock function. This full-time position is an essential role reporting to the Manager of Stock.

This role will report to the Manager of Stock.

You Will:

  • Be responsible for the daily administration of our global stock incentive plans and is the primary point person for stock related tasks, projects, employee queries, and management of our stock administration systems.
  • Execute accurate and timely processing of employee RSU's, stock option grants, exercises, employee terminations, and participant account updates.
  • Administer the global Employee Stock Purchase Plan (ESPP) and semi-annual enrollment and purchases.
  • Support global mobility tracking and RSU release processing.
  • Help compile various reports to provide accurate reporting to our key partners including payroll, accounting, tax and mobility teams.
  • Maintain integrity of data in our online stock platform. Perform periodic review and reconciliations of stock transactions and participant data to maintain a high level of accuracy.
  • Develop strong partnerships with accounting, legal, and HR teams on relevant stock issues and disclosures.
  • Develop and deliver employee communication and educational programs, including presentations, responding to employee inquiries, creating training/educational materials, and managing an internal stock administration queue.
  • Provide excellent customer service to employees, management and partners.
  • Assist efforts to implement and improve processes related to stock administration, including implementing automated solutions.
  • Support Total Rewards strategies and participate in compensation projects.

You Have:

  • 3+ years of progressive experience in HR, Finance, Accounting or other related fields with a preference for experience in stock administration or compensation.
  • Bachelor's degree in Finance, Business or related discipline; or equivalent work experience
  • CEP certification is preferred.
  • Capacity to be flexible and adapt to shifting priorities and be a collaborative team player.
  • Ability to communicate with employees of all levels and explain stock options, RSUs, and ESPP details.
  • Experience with confidentiality and access to sensitive information.
  • Knowledge of and experience with Fidelity PSW a plus.
  • Flexibility and are open to change and new information.
  • Identify and analyze problems; distinguish between relevant and irrelevant information.
  • Strong analytical skills: understands and utilizes metrics relevant to the role.
  • Self-motivation to learn more about stock administration and driven to take courses/training to increase relevant knowledge and skill sets.
  • Strong attention to detail and excellent organizational skills.
  • Exceptional written and oral communication skills, including formal presentations.
  • Ability to work independently and apply analytical and problem solving skills to deliver excellent results.
