We are looking for an exceptional Operations Assistant to join our growing team. In this role, you will work with different teams to support the daily operations that help each team be successful

Responsibilities

  • Provide administrative support to the team in Legal, Finance, Marketing, Order Management, and Sales Operations

  • Provide assistance with planning of productivity improvement projects which included collecting and gathering data for analysis and preparing workflow charts for existing internal operations

  • Handle Renewal invoices in SaasOptics and ensure it is sent timely

  • Generate reports needed by the finance team via SaasOptics

  • Ensure timely collections/AR Aging for all regions (APJ, EMEA, and USA)

  • Handle Credit Card payment and updates

  • Manage all accounting systems to ensure clean records

  • Process deal closing, invoices and tax exemption. 

  • Respond to tickets regarding Accounts and Billing requests

  • Provision/Upgrade Accounts (Trial accounts, Closed accounts, Employee accounts, etc.)

  • Processing of Cancellations and Churn

  • Review and check that internal processes are not broken, contribute to the efficiency of internal processes and to discover ways to improve internal processes and increase efficiency and contribute these ideas

Requirements 

Skills

  • Detail-oriented and comfortable with dealing with data e.g. data entry, data clean-up, data visualization

  • Good with Excel Spreadsheets and able to work with Spreadsheet formulas

  • Excellent Verbal and Writing English communication skills

  • Enjoy collaborating with others

  • Driven and highly motivated

  • High level of curiosity and enjoy taking the initiative

  • Knowledge of the following is a plus (SDFC, FreshDesk, Intercom, SaasOptics, Stripe, Netsuite, Avalara)

Qualification and Experience

  • Graduated from a Bachelor’s degree course, or have completed at least 2 years in college or have graduated from a 2-year Technical-Vocational course

  • Must have at least 1-3 years’ experience in a Back Office Support or an Operations Support role or Virtual Assistance

  • Previous Back Office Support, Operations Support role or Virtual Assistance role for a US automation campaign

  • Amenable to work at night, weekends (for quarter end) and holidays

  • Availability to work full-time as soon as possible
