The Snr. Personnel Management Specialist (Benefits, Wellness & Leaves) is responsible for working on the company’s benefits, perks, and wellness offerings. This position is also responsible for processing and maintaining federal, local, and company leave programs.
Responsibilities:
- Work with the Director of Personnel Management and Legal Department to monitor and track legislative changes for all states approved for remote work as it pertains to benefit and leave programs
- Process and monitor state-specific benefits and/or leaves to ensure compliance with state and local regulations
- Process and monitor leave of absence requests, including FMLA, medical or other personal leaves
- Review and process employee requests for ADA accommodations using the interactive process and conduct follow-ups with staff to ensure the accommodation(s) meets their needs
- Educate and communicate with managers and leaders on their responsibilities under the FMLA and ADA
- Assist employees with benefit enrollments including answering employee inquiries, processing new hire and QLE enrollments, and preparing and reviewing benefit files for submission to providers
- Reconcile benefit invoices and carrier feeds to verify accuracy, identify discrepancies and ensure timely resolution with benefit providers
- Assist with the build-out of employee wellness initiatives, including education, training, events, and program development
- Track effectiveness of wellness initiatives and continue to identify opportunities to expand benefit and wellness programs
- Participate and assist with the company’s benefits/wellness fair and other special events as determined
- Review and assist with annual open enrollment including communication, monitoring completions, answering questions, reconciling benefit files, and preparing files for submission to providers
- Work with the HRIS team on system configuration needs, reporting errors, and testing system changes related to benefit data
- Maintain positive vendor relations
- Analyze internal processes and identify process improvements for submission to the Director of Personnel Management
- Run various ad-hoc reporting and audits as needed.
- Assist with year-end reporting as needed (1094 & 1095, 5500, ACA, CMS)
- Assist and act as backup for data and compliance including ensuring timely completion of new hire paperwork, processing new hire and employee changes in HRIS system, and testing HRIS system updates
- Ensure company compliance with all federal, state, and local regulations
Qualifications:
- Minimum 4 years Human Resources experience required.
- Knowledge and experience with FMLA and ADA preferred.
- 4 year degree or equivalent experience preferred.
- Knowledge of employment & labor laws in multiple states is a plus
- Experience with processing employee data in Workday preferred
- PHR or SHRM-CP a plus
- Excellent verbal and written communications
- Excellent time management and organization skills
- Positive attitude and pleasant demeanor working with staff
- Demonstrated ability to assist and accurately advise employees
- Ability to research and resolve issues as well as learn new tools and technologies
- Ability to maintain confidentiality with findings, employee data and Company information
- Demonstrate a high level of integrity and honesty
