Location: Hybrid in Louisville, Colorado

We are seeking a highly organized and detail-oriented Executive Administrator to provide administrative support to our President and CEO. The ideal candidate will be proactive, resourceful, and able to handle a wide range of administrative tasks with minimal supervision. This position reports directly to the Manager of Executive Administration and requires an extremely high level of professionalism and discretion. 

Duties and Responsibilities  

  • Manages calendars, including scheduling meetings and appointments; proactively identifies issues and proposes solutions to ensure executives can attend to priorities. 
  •  Consistently delivers results through effective time management strategies and proactive task prioritization. 
  •  Ability to maintain confidentiality and exercise discretion in handling sensitive information.

  • Coordinates both domestic and international travel arrangements, including booking flights, hotels, and transportation; provides executive with support adjusting travel arrangements due to unforeseen changes (changing meetings, flight cancellations, etc.) 
  • Schedules and coordinates meetings and events for the CEO and Chief of Staff, including organizing external meeting locations, catering, and day-of coordination. 
  • Serves as a liaison to the board of directors. Schedules all Board of Director meetings and coordinates all necessary meeting logistics. 
  • Supports the creation, modification, editing and preparation of documents, including board related materials. Verifies accuracy and clarity of final product. 
  • Proactively anticipates administrative needs and makes informed decisions regarding priorities; analyzes situations carefully, recommends solutions, adopts effective courses of action. 
  • Prepare and edit correspondence, communications, presentations, and other documents. 
  • Manages, tracks expenses, and submits P-card reimbursements. 
  • Serve as a primary point of contact for internal and external stakeholders on matters pertaining to the CEO and Chief of Staff. 
  • Assists with special projects and other duties as assigned. 

Qualifications 

  • Bachelor’s degree in business administration, communications, or related field 
  • 5+ years of experience in executive administration, event coordination, or related field 
  • Experience working in a remote, fast-paced environment 
  • This role is hybrid and requires in-office time at our headquarters in Louisville, CO 
  • Advanced experience in calendar, T&E and financial approval software including MS Office, PowerPoint, Concur and systems similar to Oracle.

The compensation range is $36/hr - $45/hr

The base salary range represents the anticipated low and high end of the GHX’s salary range for this position. Actual salaries will vary and will be based on various factors, such as candidate’s qualifications, skills, competencies and proficiency for the role. The base salary is one component of GHX’s total compensation package for employees.
