This is an exciting opportunity for a highly motivated and customer-focused Talent Operations Specialist who thrives in a dynamic, fast-paced environment. We are seeking an engaging individual to serve as the face of the company, delivering exceptional customer service to both internal team members and external guests. You will be the first point of contact, greeting guests, handling inquiries, and ensuring a positive experience for all. This role encompasses four key areas: office management, facilities management, vendor management, and employee onboarding.
The ideal candidate will have a professional demeanor, excellent interpersonal skills, and the emotional intelligence (EQ) to navigate interactions with entrepreneurs, high-profile guests, investors, and vendors. Success in this highly visible role requires multitasking with attention to detail and a strong ability to collaborate with global office managers.
This is a hybrid position; this individual should expect to be in the office (Palo Alto, CA) 2 days per week minimum. The US base salary range for this full-time position is $70,000 - $90,000 + equity + benefits. Our salary ranges are determined by role, level, and location.
What You'll Do:
- Onboarding & New Hire Coordination:
- Serve as the main point of contact for new hires during pre-boarding and onboarding.
- Coordinate with IT and HR to gather all necessary information for successful pre-boarding.
- Lead weekly virtual and bi-monthly in-person orientation sessions for new hires.
- Event & Office Logistics Support:
- Support logistics for group meetings and office events, including facilities, A/V, security, and catering, with a focus on time management.
- Maintain office cleanliness and organization, ensuring conference rooms and common areas are stocked with supplies.
- Oversee office lunch programs and other office services two days per week in collaboration with IT, facilities, and administrative support teams.
- Guest & Administrative Services:
- In-office presence 2-days/week required to ensure effective oversight on operations
- Greet and escort guests, coordinate deliveries, sign for packages, and handle package pickups.
- Manage incoming calls, respond to email inquiries, and sort and distribute mail.
- Set up badges for new employees and visitors, including managing temp badges.
- Facilities & Vendor Management:
- Partner with IT to handle the collection of company equipment from former employees, working with international office managers as needed.
- Collaborate with vendors and ensure timely resolution of any facility-related issues.
- Continuous Improvement & Innovation:
- Propose and implement creative solutions to improve administrative processes as the company grows.
- Manage full-cycle inventory and distribution of company swag.
- Miscellaneous HR Support:
- Assist with miscellaneous HR-related tasks and ad-hoc requests as needed.
What We’re Looking For:
- Experience: 1+ years in an operational support or administrative role, demonstrating business acumen, strong judgment, attention to detail, and the ability to prioritize tasks in a fast-paced environment.
- Professionalism & Maturity: A dependable, trustworthy individual with the ability to build credibility and trust with diverse stakeholders, both internal and external.
- Skills:
- Strong interpersonal communication and customer service skills.
- Ability to multitask and manage time efficiently.
- Excellent organizational skills with attention to detail.
- Proficiency in using office software and tools for scheduling, communication, and coordination.
