ABOUT THE ROLE

As a Contracts Manager at Cartwheel, you will manage the end-to-end contracting lifecycle with school districts, project manage RFPs and grants in collaboration with internal stakeholders and our district partners, and develop internal systems and processes to scale our contracting cycles. You will be a crucial member of our revenue teams and help Cartwheel become the trusted mental health partner to schools and families across the country.

Location: 100% remote with semi-annual in-person retreats in Boston.

Start date: Summer 2024

WHAT YOU’LL DO

Subscription cycle management

  • Oversee entire lifecycle of customer contracts from initial request through contract execution, renewal and/or churn
  • Document and maintain accurate customer contract details (ie procurement processes, terms, key dates, etc) in CRM, Cartwheel Portal, and knowledge base
  • Review customer contracts to ensure compliance with company policy, legal requirements and risk mitigation
  • Support negotiations on customer contracts and contract performance
  • Coordinate contract renewals, extensions, or terminations, including contract review and approval
  • Track and regularly report on the status of contracts

RFP and Grant Project Management

  • Project manage RFP and Grant responses, including gathering cross functional input, compiling responses, and editing to put Cartwheel in the best position to win
  • Ensure RFPs include accurate terms and conditions, pricing, and service level agreements and comply with company policies, legal requirements and risk mitigation strategies.
  • Track RFPs related to student mental health and collaborate with the Head of Sales on high-potential opportunities.
  • Develop a repository of templates and standard responses to streamline the RFP process.

Develop systems and processes to scale

  • Implement best practices for managing contracts, RFPs, and grants
  • Develop recommendation on how to scale our contracting, RFP and grant processes
  • Establish scalable systems and processes for managing our subscription lifecycle
  • Stay up to speed on industry trends, best practices, and regulatory requirements

WHO YOU ARE 

Background:

  • At least 5 years experience in a similar role and industry (contract management, subscription lifecycle management, RFP management, deal desk management)
  • Experience in contract negotiation, maintaining and improving contract-management processes and recordkeeping, supporting renewals, project managing RFP processes, or similar responsibilities
  • Skilled in managing the contracting process and coordinating with legal and business offices.
  • Effective project manager, able to handle multiple priorities, weigh tradeoffs, and communicate progress and needs to the team. Naturally structures problems into logical components.
  • Ability to analyze complex contracts, identify risks and opportunities, and negotiate favorable terms and conditions as needed
  • Adept at building relationships with diverse stakeholders and influencing without authority.
  • Excellent written and verbal communication skills, strong attention to detail and commitment to quality.
  • Proficient in Google Suite, Salesforce, and contract management tools
  • Capable of working both independently and collaboratively in a fast-paced startup environment. Takes initiative to surface ideas and drive projects to completion.
  • Dedicated to serving the education community and supporting their goals through innovative solutions.

Extra credit:

  • Experience in K-12 education technology.
  • Knowledge of funding sources and grant opportunities specific to education.
  • Familiarity with legal and regulatory aspects of contracting and grant management.
  • Familiarity with HIPAA and FERPA data privacy regulations
