Summary
The Payroll Specialist II at PosiGen plays a vital role in ensuring the accurate and timely processing of payroll for assigned employee groups. This position requires a solid understanding of payroll concepts, procedures, and regulations, along with the ability to work independently and collaboratively within a team environment. The Payroll Specialist II must understand the complexities with multi-state payroll while still providing exceptional customer service to our employees nationwide.
Essential Job Functions
Payroll Processing:
- Assist with basic payroll processing tasks, such as:
- Gathering and organizing time and attendance data.
- Processing payroll within the HRIS Payroll System
- Preparing payroll reports and summaries.
- Printing and distributing paychecks or pay stubs.
- Assisting with onboarding of new hires.
- Processing ESC forms and changes in the HRIS Payroll System
- Assisting with the preparation of payroll tax filings.
- Any and all other duties assigned by the payroll manager.
- Process payroll for assigned employee groups, ensuring accurate and timely calculation of wages, deductions, and taxes.
- Handle various payroll complexities, such as overtime, bonuses, commissions, and shift differentials.
- Process payroll and payroll audits.
- Assist with DBRA and Prevailing Wages
- Process new hire, termination, and employee status change paperwork.
- Reconcile payroll data with time and attendance records, resolving any discrepancies.
Time and Attendance Management:
- Review and verify time and attendance data, ensuring accurate recording of employee hours worked, leaves, and absences.
- Work closely with managers and employees to resolve timekeeping issues and discrepancies.
- Work closely with managers to ensure employee time is assigned to the appropriate job and location.
Data Entry and Verification:
- Accurately input and verify employee payroll data, including new hires, terminations, personal information changes, tax withholding elections, and direct deposit information, into the payroll system.
- Review and audit payroll data for accuracy and completeness, identifying and resolving any discrepancies.
Payroll Deductions:
- Calculate and process payroll deductions, including taxes, benefits, garnishments, and other voluntary deductions, in accordance with company policies and legal requirements.
- Stay informed about changes in tax laws and regulations that impact payroll deductions.
Reporting and Analysis:
- Prepare and distribute payroll reports, providing insights into payroll costs, trends, and anomalies for management review.
- Assist with the analysis of payroll data to identify potential areas for improvement and cost savings.
Employee Support:
- Respond to employee inquiries regarding payroll, addressing concerns and resolving issues in a professional and timely manner.
- Guide employees on payroll-related policies and procedures.
Document Management:
- Maintain organized payroll records and files, both physical and electronic, ensuring proper documentation of employee information, payroll transactions, and compliance-related materials.
- Assist with the archiving and retrieval of payroll records as needed.
Year-End Processing:
- Assist with year-end payroll processing and reporting, including the preparation of W-2 forms and other required documentation.
- Ensure compliance with all year-end reporting deadlines and requirements.

Required Skills/Abilities:
- Analytical Skills: Strong analytical and problem-solving abilities, with proficiency in interpreting complex regulations and identifying potential compliance risks.
- Attention to Detail: Meticulous attention to detail, ensuring accuracy and completeness in all compliance-related documentation and processes.
- DBRA Knowledge: Foundational knowledge of Davis-Bacon and Related Acts, including prevailing wage determinations, certified payroll requirements, and compliance reporting.
- Labor Law Expertise: Comprehensive understanding of federal and state labor laws, including FLSA, FMLA, ADA, and EEO regulations.
- Communication: Excellent verbal and written communication skills, with the ability to effectively convey complex information to diverse audiences.
- Ability to work independently and as part of a team
- Proficiency in Microsoft Office Suite and payroll software
- Knowledge of basic state and federal payroll regulations
- Strong problem-solving and analytical skills
- Ability to maintain confidentiality of sensitive payroll information
Education/Experience:
- Education: Associate's degree in accounting or a related field preferred
- Experience:
- 3-5 years of experience in payroll processing
- Experience with multi-state payroll processing is a must
- DBRA and Prevailing wages is a plus
- Experience conducting internal audits, and investigations, and implementing corrective actions to address compliance gaps.
- Demonstrated ability to interpret and apply federal, state, and local labor laws, regulations, and agency guidelines.
- Experience developing and delivering training programs on compliance-related topics.
- Familiarity with renewable energy or solar industry payroll practices is a plus.
- Ability to adapt to a fast-paced, dynamic work environment.

- Occasionally, the employee may need to sit, climb, balance, stoop, kneel, crouch, or crawl. Lifting and moving objects up to 10 pounds frequently and up to 25 pounds occasionally is required. Vision requirements include close, distance, color vision, peripheral vision, depth perception, and focus adjustment.
