We’re continuing to grow and expand our US footprint, and thus looking to add another member to our Operations team as the Office Experience Administrator. Ideally, we’re seeking someone who loves creating and cultivating the best onsite experience at M Booth, while also being able to manage multiple administrative responsibilities. You enjoy crossing multiple things off a list, being the “go-to” agency resource, and have an upbeat, positive, and welcoming attitude. In this Office Experience Administrator role, you are the first person a potential vendor, candidate, or client will see as they walk into the door, so it’s critical you enjoy working with others while also maintaining a high level of professionalism and organization.
Reception & Front Desk (50% of the role)
Answer and direct all incoming calls
Meet and greet clients, candidates, visitors and messengers
Train interns on the reception desk.
Interns relieve you for your lunch and daily responsibilities.
Maintain organization of newspapers and magazines in our media library
Serve as main point of contact for building security for all visitor inquires
Manage guest services portal, signing all visitors into the system
Office Administration (50% of the role)
Monitor and maintain a clean and orderly office environment ensuring the office is always client ready, especially common areas
Manage incoming and outgoing mail and packages
Keep bathrooms and kitchen stocked throughout the day
Assist with supply orders cost effectively ensuring reasonable needs are met while keeping stock rooms orderly
Assist with tracking and ordering kitchen and office supplies
Manage catering orders for internal meetings
Contribute to ongoing office projects as needed across the agency, including HR and Finance projects
Prior experience in a similar administrative role
High level of interpersonal skills and ability to interface well with staff in a highly professional manner
Attention to detail and exemplary multitasking skills
Strong working knowledge of Word, Excel, PowerPoint, Slack, and Outlook
