POSITION SUMMARY
The Senior Payroll Administrator will manage the payroll functions of our remote-first organization, with employees located in 25+ states, ensuring payroll, benefits, and related taxes/fees are processed on time, accurately, and in compliance with regulatory and accounting requirements.
RESPONSIBILITIES
Payroll, Tax, and Benefit Processing
- Prepare and initiate semi-monthly and bi-weekly payroll processing, including off-cycle runs for terminated employees and other exception events
- Track and ensure inclusion of compensation, tax, and benefit adjustments for each pay cycle
- Set up and maintain payroll profiles for new and existing employees in coordination with Human Resources and payroll system provider
- Work with Human Resources and payroll system providers as needed to initiate adjustments to master coding for types of wages, taxes, benefits, deductions, adjustments, etc.
- Manage required state and other agency registrations, and complete agency filings and tax/fee deposits
- Confirm benefits transactions have been accurately processed for each employee
Accounting, Audits, and Other
- Perform payroll system data transfers to accounting system, updating mapping as required
- Calculate and record monthly payroll accrual entries
- Complete departmental shared payroll expense allocations
- Perform monthly and quarterly reconciliation of transactions and balances across payroll, benefits, and accounting systems
- Reconcile quarterly IRS 941 tax returns to accounting system payroll data
- Produce payroll census reports for annual workers’ compensation audit
- Prepare payroll and benefit schedules for annual financial audit, and provide supporting documentation for auditor testing requests
- Lead organization’s ERISA audit review preparation and material’s request response, and act as primary contact for auditor
- Review W2s prior to annual distribution to employees
- Continually seek and recommend process improvements
- Perform other duties and special projects as assigned
QUALIFICATIONS
- Strong preference for a minimum of five years of related experience in performing a broad range of payroll and administration functions, including related accounting and audit activities
- Experience with federal, state, and local agency compliance and filing activities
- Strong collaborator with excellent verbal and written communication skills
- Solutions oriented and efficient in handling employee inquiries
- Demonstrated organizational skills and attention to detail, committed to quality and accuracy
- Curious and innovative in seeking to expand skill sets and recommend improvements
- Excellent judgment regarding the handling of confidential and sensitive employee and organization information
SUPERVISION
Reports to the Senior Director, Finance.
COMPENSATION
This is a full-time position. The target salary for this position is $103,500 for a candidate based in the San Francisco Bay Area, and $94,500 for candidates in other areas of the U.S. EF provides a comprehensive benefits package, including competitive salary, medical, dental, vision, disability, and retirement benefits and paid time off.
OTHER REQUIREMENTS
Ability to travel one to two times a year for three to four business days at a time.

EF is a remote-first work environment. This position may be based in any of EF’s offices or may work remotely from anywhere in the U.S.
The office environments include some shared workspace, some individual offices, and shared kitchen facilities, with moderate noise levels and a collegial atmosphere. On occasion, there are activities or events after work hours.
