Summary of Position:

We are seeking an ambitious Account Coordinator to support the Account Services division in managing all assigned client-related tasks, projects and daily account activities. Daily tasks include supporting the day-to-day lead for selected NVE Clients, being a key resource in facilitating the duties of Account Leads, and working cross-collaboratively with internal departments. Candidates should have exceptional interpersonal and organizational skills, an ability to manage multiple projects simultaneously, and an aptitude towards strategic thinking, project management, and problem-solving.

This role will directly support and report directly to the Senior Account Director.

Role Priorities:

  • Administrative: Manage a variety of administrative tasks to ensure the department and projects run smoothly and efficiently
  • Process & Project Management: Supports supervisor and department counterparts to facilitate internal project management and efficiency tasks
  • Finance & Invoicing: Supports supervisor or project lead with completion of the master billing tracker and finance/invoicing tasks
  • Industry Landscape: Read relevant news and trade publications to identify market trends, competitive activity, and potential client-related opportunities, and to deepen overall knowledge of the event and brand marketing landscape

Job Responsibilities:

  • Client Services
    • Provide direct support and project coordination for assigned NVE Accounts
    • Assist in the creation of all account proposals, event decks and recaps; including copywriting, research and ideation
    • Assist in the creation of case studies and supporting materials for new business pitches
    • Support supervisor and project teams onsite at client events as needed
  • Project Management
    • Assist in maintaining internal and external project overviews and status reports
    • Assist in the creation and organization of all client facing project documents
    • Oversee responsibilities/tasks assigned by supervisor
    • Manage key projects, as assigned by supervisor, required to fulfill client deliverables, and execute exceptional programs
    • Liaison between supervisor and project team for updates and reminders
    • Facilitates internal communications between interdepartmental project teams
    • Creates client toolkits, master venue databases, and master COI folders and works with interdepartmental teams to complete
  • Business Development
    • Assist with the RFP process for all assigned projects
    • Conducts research in support of strategy and creative development
  • Administrative
    • Assist with meeting/conference preparation, organizing meeting materials, etc.
    • Draft call agendas, capture and circulate notes during internal project meetings and external client meetings
    • Manage document storage and pertinent data entry needs using NVE’s shared storage system and centralized data systems
    • Support supervisor and day-to-day project leads in all daily endeavors and tasks
    • Scheduling of Internal and external meetings
    • Enter, track, and report business pipeline activity for prospective and awarded client work through the company database

Qualifications:

  • 1-2 years of experience in account management, project management, marketing, advertising, events
  • Process-oriented and highly organized
  • Experience with Keynote, Google Slides, or PowerPoint, as well as Excel or Google Sheets
  • Ability to write effectively, persuasively, and professionally
  • Exceptional interpersonal and relationship-building skills
  • Exceptional time management skills
  • Excellent communication and organizational characteristics
  • Confidence in verbal communication
  • Flexibility and adaptability to a fast-paced work environment and ability to work under tight deadlines
  • Willingness to work extended hours and on weekends when necessary

Requirements:

  • Must be able to remain in a stationary position 50% or more of the time

Location:

We are a hybrid company with hub locations in Los Angeles and New York. The ideal candidate is located in Los Angeles, CA, however, we will consider remote candidates for this role.

Hourly Estimation: 

This is a non-exempt role eligible for OT in accordance with local law. The hourly range is $22.00 - $26.00 per hour. NVE intends to provide a competitive total compensation package which includes a variety of incentives, benefits, growth and developmental opportunities. There are many factors to the presented hourly range, including but not limited to - location, departmental budgets, certifications, and overall job-related qualifications.
