Hillel International is looking for a systems and data-driven Talent Operations Associate to join our People Operations department. You will be the data and operations guru - providing streamlined information, analysis, and insights to support our Strategic HR and Talent Acquisition teams in hiring, engaging, and retaining Hillel professionals across North America. 

What You’ll Do

Systems Management

  • Manage and support our Talent related systems (Greenhouse, our applicant tracking system, and Paycom, our HRIS)
  • Create materials to train and onboard system users.
  • Provide a high level of customer support including technical training and operations for all system users. 
  • Oversee background check process.

Data Collection and Analysis

  • Maintain Talent data throughout the year and provide periodical updates.
  • Manage internal tracking of job openings and closings.
  • Work with search liaisons to ensure they are receiving accurate reports for tracking outreach and recruitment.
  • Analyze data, identify trends, and provide insights to stakeholders that help inform and drive the work of the organization
  • Oversee the distribution of exit surveys, collection of data, and periodical themes. Flag content HR might want to look into more closely.
  • Support annual employee engagement surveys by maintaining staff data hygiene pre-survey, promoting survey completion, and assisting with data analysis post-survey.

General Team Support

  • Assist in creating and updating talent-focused materials and resources.
  • Manage operations for onboarding and offboarding processes, including communication with hiring managers, hire letter creation, scheduling new hire meetings, facilitating a streamlined offboarding experience, and resource development.
  • Post open positions, manage search logistics and other administrative tasks as needed, to ensure effective processes and positive experience for applicants, new hires, and supervisors.
  • Org Chart creation and maintenance.  
  • Manage Talent content on Hillel Hub (internal knowledge management system): collaborate with the Strategic HR and Talent Acquisition teams to create, maintain, and track content and best practices resources.
  • Provide technical support during various Zoom meetings and trainings.

What You’ll Bring to the Role

  • A bachelor’s degree and 2-3 years of work experience
  • Experience working with ATS (Applicant Tracking Systems) and HRIS (Human Resource Information Systems) or a strong data orientation
  • Proficiency with, Microsoft Office suite, including extensive experience with Excel/Google Sheets, and a quick learner of new tools
  • Ability to work autonomously and effectively in a fast-paced, complex, and matrixed virtual environment
  • A love for crossing things off your to-do list, creating and managing processes, and finding new and efficient ways to do things
  • Strong relationship builder and collaborator, great customer service orientation
  • Excitement for learning about non-profits in the higher education space
