Why this role

We are seeking a highly organized, proactive, and versatile Workplace Experience Partner to join our team. This role is a hybrid position that combines the responsibilities of office management, internal communications, People Operations, and executive assistance. The ideal candidate will manage day-to-day office operations, support key People Operations functions and internal communications within the organization, and assist executives with calendar and task management, ensuring smooth and efficient internal processes.

What you’ll do 

Office Management:

  • Oversee the daily operations of the office, ensuring a clean, well-organized, and functional workspace.
  • Manage office supply inventory, ordering, and restocking to maintain necessary supplies.
  • Coordinate with vendors for office maintenance, equipment servicing, and facility-related tasks.
  • Ensure compliance with health and safety regulations and maintain an organized filing system for company documentation.
  • Track office-related expenses and manage the office budget efficiently.
  • Process invoices, handle petty cash, and manage relationships with office suppliers and service providers.
  • Organize company events, team-building activities, and meetings.
  • Handle logistics for internal and external meetings, workshops, and conferences.

People Operations: 

  • Assist with People team inquiries on internal chat and email for, benefits, payroll, HR policies, and office matters
  • Manage the onboarding and offboarding process including; maintaining accurate teammate profiles in HR systems, collaborating with IT, and scheduling New Evolver Onboarding. 
  • Process employment verifications, unemployment claims, and I-9 documentation. 
  • Support ad hoc HR initiatives, including company events, department events, and teammate recognition

Internal Communications:

  • Support Evolve’s internal communication strategy to help keep employees informed about company updates, policies, and events.
  • Draft key org-specific and company-wide communication in partnership with key stakeholders
  • Write, edit, and distribute company-wide announcements, newsletters, and memos.
  • Support HR in creating and distributing internal communications related to onboarding, training, and employee engagement initiatives.
  • Manage internal collaboration tools (e.g., Slack) and ensure they are utilized effectively across teams.
  • Troubleshoot communication and technical issues in collaboration with the IT department.

Executive Assistance:

  • Manage and maintain the schedules and calendars of C-level executives, ensuring efficient use of their time.
  • Coordinate travel arrangements, including flights, accommodations, transportation, and itineraries for executives.
  • Prepare agendas, materials, and reports for executive meetings.
  • Take detailed meeting minutes, track follow-up tasks, and ensure timely completion of action items.
  • Assist with various projects assigned by executives, including research, report preparation, and presentation creation.
  • Handle confidential and sensitive information with discretion.
  • Serve as a backup for other administrative personnel as needed

Location 

This role is required to work on-site in our beautiful downtown Denver office Monday - Friday. Flexibility to work remotely on an ad-hoc basis with approval.

  • Proactive problem solver, continuously seeking opportunities to enhance processes and take on new challenges
  • Highly adaptable and resourceful, capable of thriving in a fast-paced environment while maintaining a cheerful demeanor and sense of humor
  • Comfortable leveraging technology and willing to learn new tools to streamline tasks
  • Known for maintaining high integrity and handling confidential information with discretion
  • Ability to lift 25 lbs and not afraid to tackle the physical aspects of organizing and running an office
  • Executive administrative experience preferred

Compensation 

Annual base salary range: $87,000 - $100,000, depending on relevant experience.
