Enviva is seeking an Office Manager for the Raleigh office. The Office Manager will report directly to the Executive Assistant, Human Capital and will be responsible for the following activities:
Manage contracts and providers for services including security, parking, cleaning, catering, etc.
Anticipate needs of the office and proactively bring together resources and address the issue within the office.
Answer phone calls and voicemail messages and forward as appropriate.
Track, order, and stock office and kitchen supplies.
Set up office, kitchens, and conference rooms daily.
Allocate and manage hot desking and space sharing within office.
Liaise with building management for office repairs, cleaning services, tenant emergency notifications, etc.
Manage and own budgets, PO creation for vendors, and ensure cost-effectiveness.
Manage and issue keys and access cards as needed.
Retrieve US Mail, FedEx and UPS packages and distribute to staff.
Send and track mail or packages shipped from the Raleigh Office.
Assist with internal meeting preparation including conference room and audio-visual setup and catering.
Report and escalate to management as needed.
Perform general administrative duties as needed.
High School Diploma required. Associate’s or bachelor’s degree preferred.
5-7+ years of working experience as facilities manager or relevant position
Possess strong oral and written communication skills and exceptional computer skills (MS Word, Excel, PowerPoint, Outlook, etc.).
Able to work both independently and as part of a collaborative team, juggle multiple projects, and assume additional responsibilities over time.
Highly organized, with exceptional attention to detail.
Demonstrate sound judgment and ability to reach decisions independently.
Ability to develop solid, trusted relationships.
Maintain strong sense of urgency and problem-solving skills.
Demonstrate a positive customer service attitude.
Adapt well to changing plans and priorities.
