About the role

We are seeking an organized, proactive, and highly adaptable Executive Assistant/Office Manager to support our Executive Leadership Team and manage our office operations. This role is essential in ensuring seamless day-to-day operations while providing top-notch support to executives. The ideal candidate is a detail-oriented self-starter with excellent multitasking abilities and a friendly, professional demeanor.

In this role, you will be expected to:


Executive Support

  • Manage complex calendars, including scheduling meetings and appointments for the ELT members, optimizing their time and priorities.
  • Coordinate travel arrangements, including flights, accommodations, and transportation, ensuring seamless logistics when traveling.
  • Occasional meeting support as needed, e.g. prepare and distribute meeting agendas and materials, and follow up on action items to ensure timely completion.
  • Serve as point of contact for internal and external stakeholders who need to meet with the ELT, demonstrating professionalism and diplomacy in all interactions.
  • Conduct research for meeting preparation such as preparing bios of meeting participants.
  • Handle sensitive and confidential information with the utmost discretion and maintain confidentiality at all times.
  • Anticipate the needs of the ELT and proactively identify opportunities to streamline processes and improve efficiency.
  • Assist with ad hoc administrative tasks and special projects as assigned by the ELT, demonstrating flexibility and adaptability to changing priorities.

Office Management

  • Manage our beautiful office including tasks such as ordering/facilitating the Tuesday lunch, additional team lunches, restocking fridge and pantry
  • Ensure a welcoming and organized work environment for all staff members.
  • Oversee daily office operations, including ordering supplies, managing office inventory, and ensuring a clean, organized workspace.
  • Coordinate maintenance and repair services as needed to keep the office running smoothly.
  • Manage relationships with office vendors, such as cleaning services, supplies providers, and building management.

Event Planning

  • Organize company events, meetings, team-building activities, and other social functions to enhance team morale and collaboration.
  • Coordinate logistics for offsite meetings and special events, including venues, catering, materials, and setup.

Special Considerations:

While we are a remote-first company, we do have an office in New York City, located in the SoHo area. Many of our local employees come into the office on Tuesdays for collaboration, connection, and lunch. As a result, we have a non-negotiable requirement for this role to be based locally to be able to support the staff in office on Tuesdays, as well as help facilitate onsite interviews and be a connection for in-office activities on other days as needed.

Your profile:

  • At least 3 years of experience in a similar role supporting C-level executives or senior leadership in a corporate environment.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously in a fast-paced environment.
  • Exceptional communication skills, both written and verbal, with the ability to interact professionally with individuals at all levels of the organization.
  • Proficiency in Google Workspace and Microsoft Office.
  • Discretion and integrity in handling confidential information and sensitive situations.
  • Resourcefulness and a proactive approach to problem-solving, with the ability to work independently and make sound decisions.
  • Collaborative and team-oriented mindset, ready and willing to assist with tasks beyond standard responsibilities. Embraces flexibility and can easily adjust to changing priorities.

The minimum and maximum salary for this position ranges from $75,000 - $105,000, in addition to a discretionary bonus and comprehensive benefits package. Final salary will be based on a number of factors including but not limited to, a candidate’s qualifications, skills, competencies, experience, expertise and location.
