• Experience managing a dynamic office environment with at least 2+ years of experience with logistics and operations of a professional, tech-enabled organization

Start your adventure with Zip

As the office and event coordinator on the US team, you will own logistics and operations of Zip’s New York office and support employee programs and events that help engage our teams and enable our people to do the best work of their lives. The office coordinator is responsible for cultivating a vibrant, positive work environment reflective of our great culture and values and organizing small and large scale events that help to amplify our Zip culture and create connectivity across our workforce. This role requires office presence in our Union Square office 4-5 days a week during business hours (9:00 AM-5:00 PM). 

Interesting problems you’ll get to solve

  • Create and maintain an epic workspace that promotes productivity and creativity - this will be across Zip’s US+ offices (primarily NY)
  • Serve as the on-site point of contact in creating a warm and customer-friendly experience making sure all Zip guests feel the Zip vibe when they walk through the door
  • Execute in-office strategy meetings, events, team lunches, and culture/ team-building experiences
  • Support new hire onboarding and induction in conjunction with the People & Culture team 
  • Create a safe environment for Zipsters ensuring the office meets health and safety requirements and that facilities comply with legislation
  • Serve as the in-office point of contact for facilities and supplies
  • Project manage any office re-location or space expansion efforts 
  • Source, manage and optimise external vendors including cleaning, maintenance and catering suppliers
  • Management of mail distribution and office supply stocking and replenishment
  • Drive employee security and safety: approve, issue and maintain security and visitor management protocols
  • Serve as the liaison with building management and as the point of contact for in-office deliveries, visitors, and vendors

Qualifications

  • 2+ years experience in professional office management and/or event coordination
  • Experience running a small-medium office (100 people) with hybrid work logistics 
  • Strong interpersonal and written communication skills and customer-facing experience
  • An abundance of energy to deliver an awesome first impression to all Zipsters, customers and guests
  • Attention to detail and thoroughness/accuracy in work activities
  • Ability to prioritise and complete tasks under pressure and project manage longer term assignment
  • A love of people experiences and creating moments for employees (our Zipsters)
  • Knowledge of G-Suite, Microsoft Office and productivity platforms

The Pay Range for this position: $62,000 - $65,000 USD based on the industry benchmark for position, function, level and Zip's compensation strategies. However, actual base salary will depend on varying circumstances and individualized factors, such as job-related knowledge, skills, experience, and other objective business considerations. 

Subject to those same considerations, the total compensation package for this position may also include other elements, including a bonus and/or equity awards, in addition to a full range of medical, financial, and/or other benefits.
