What will you do?

  • Take good care of the reception area of the Office.
  • Greet and welcome people who come to the office and provide them all assistance and support with an empathetic professional perception.
  • Manifest the decorum and decency of the organization in the appearance, behavior, and interactions with employees as well as with all the other visitors.
  • Important Business information received at the front office should be confidentially handled and shared with departments or business leaders as instructed or as desirable.
  • Keep track of all incoming and outgoing couriers, and other correspondences and ensure that details of all the articles are properly recorded in the stipulated registers and recipients properly informed.
  • Take responsibility of movement or flow of materials, storage of office stationery items, distribution of the stationery, movement of official assets outside of the organization, etc. and ensure that all are tracked adequately.
  • Provide stationery items and joining kit to the employees, print ID cards, facilitate bank account opening for the new employees, and ensure that the employees receive a good onboarding experience.
  • Carefully understand the policies of the company in terms of asset management, visitors’ management, ISMS rules of security, ISO regulations, Rules of documentation, Maintenance of mandatory registers, etc. and follow the company wide rules diligently and represent the organization while these important areas are audited.
  • Manage the reservation of the conference rooms based on the business requirements, and support employees to identify proper workplaces, especially while the hybrid work model is in place.
  • Manage the housekeeping staff and educate/ train them for ensuring proper support for employees and to keep the office premises and the pantry clean. The supply of refreshments and other beverages in the pantry should be ensured adequate.
  • Educate the security personnel on contract on the physical security policies of the organization and closely monitor them to ensure that they adhere to the organizational policies and ethics, any potential challenges on physical security should be initiated to the locational leaders forthwith.

 

         What do I need to succeed?

  • Graduation or Post Graduation in any discipline, preferably from Public Relations, Human Resources, Hotel Management, English Language, etc.
  • Relevant Experience in handling Front Office/Reception.
  • Excellent in both verbal and written communication, and confident to interact with external Senior Business Executives/ Senior Govt Officials as part of the role.
  • Personable, mature and a pleasant individual with smart aptitude to manage people and facility and has got professional competencies to fulfil other organizational expectations.
  • Willingness to work five days a week from the office.
