The Role

XTX are seeking a highly organized and customer-focused Receptionist to join our team. As the first point of contact for our office, you will be responsible for providing exceptional hospitality to all guests and ensuring the smooth operation of reception and office management duties. The ideal candidate should possess excellent communication skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment. This role requires you to be in the office 5 days per week, with 8am to 6pm working hours.

 

Responsibilities

  • Reception: Warmly welcome all guests, creating a positive and professional impression. Manage a busy phone system, handling incoming calls and identifying relevant calls. Arrange couriers and provide regular updates to consignees. Distribute office post to the appropriate teams. Liaise with onsite contractors, enforcing office procedures, and maintaining the front of house area. Conduct office tours and provide gym inductions to new starters.
  • Meeting Room Management: Oversee the efficient scheduling and operation of 9 meeting rooms, with potential growth in the future. Ensure there are no meeting clashes, prepare the rooms, and ensure stationary supplies are stocked. Arrange lunches, breakfasts, and refreshments as required.
  • Clinic Management: Organize logistics and appointments for various clinics, such as GP Clinics and Massage Clinics. Send out email reminders to the London office regarding clinic appointments.
  • Office Management Support: Provide cover for annual leave, including facilities maintenance, health and safety responsibilities, and overall office operations. Book First Aid and Fire Marshal courses for staff when necessary. Coordinate with contractors and arrange permits as needed. Facilitate the purchase and delivery of DSE equipment for staff working from home. Serve as a communication link between staff and building management for complaints and requests.
  • Staff Wellbeing: Manage the logistics and procurement of birthday cakes for the London office. Organize Non-Farm Payroll food orders for London office staff. Coordinate new baby gifts and Christmas hampers/gift cards for clinicians and housekeeping staff.
  • Other Assistance: Assist with firmwide coordination for annual mandatory security and compliance training. This includes meeting arrangements, room bookings, and tracking firmwide attendance.
  • Merchandise: Conduct stock inventory checks and organize storage in the merchandise cupboard. Distribute merchandise to both existing and new employees. Place orders with the supplier when stock levels are low.
  • Everyman Screening Cinema Night: Organize cinema nights for staff, coordinating schedules and logistics.
  • Clinic Schedules: Manage schedules for various clinics, including Hair Salon Clinic, GP Clinic, Wellbeing Sessions, and Massage Clinic.
  • Gym Class Reminders: Maintain and distribute a weekly gym class schedule to staff. Coordinate various classes, such as Boxing, Circuit Classes, Yoga, Functional Training, Virtual Yoga, and Virtual HIIT sessions. Facilitate communication with instructors and update staff on class schedules.
  • Gym Disclaimer: After providing new starters with an office tour and gym induction, send them a gym disclaimer with HR cc'd.
  • Training Courses: Coordinate training courses using the High-Speed Training platform. Access the account with the provided username if needed.

 

Essential Attributes

  • Previous experience in a receptionist or front desk role is preferred.
  • Excellent interpersonal and communication skills.
  • Strong organizational and multitasking abilities.
  • Attention to detail and accuracy in handling tasks.
  • Ability to remain calm and professional in a fast-paced environment.
  • Proficiency in Microsoft Office Suite.
