Vendor Contracts & Relations Specialist is a key position to drive business within the Xometry Sales Operations team. This position is responsible for the onboarding and ongoing maintenance of Xometry’s vendor status within accounts, ensuring consistent documentation, confirming vendor requests completion, and maintaining/responding to portal requests. Working closely with the sales team, you will be the subject matter expert and responsible for driving AVL. 

The Vendor Contracts & Relations Specialist is also responsible for continuously exploring ways to improve the efficiency, contributing to solution implementation which allows for improved capture of data and leading to a high confidence in data integrity and reporting accuracy.

What You Will do:

  • Establish internal policies, processes, standards, templates for working with customers and business partners to improve performance
  • Complete or assign responsibility for completion of various types of customer AVL documentation
  • Build and maintain collaborative relationships with stakeholders and leaders from across the organization, including  sales, legal, compliance, security  and finance.  
  • Reviews processes, procedures as they are developed or updated, to ensure proper controls and procedures are in place to mitigate risks for vendor status lapses 
  • Portal management responsibilities, assign responsibility for work in portals to the appropriate internal stakeholder, responsibility for creating and maintaining vendor status on customer portals, ensuring updates, communication and response are handled in a timely manner
  • Manage formal quote request paperwork process, completing and guiding internal teams to prepare forms. 
  • Managing deliverable requests from the regulators / auditors relating to quality assurance; collecting information and documentation in a timely manner, tracking and documenting requests and responses
  • Evaluating compliance reporting requests and creating self-serve resources for customers or determining the internal stakeholders and assigning for response to the customer

Develop and design solutions to optimize business, ensuring processes are documented with process flows, reference documents and forms for stakeholders self service experience 

  • Act as the first point of contact for users seeking guidance on the vendor/supplier set up process 
  • Provide oversight of the progress of each vendor/supplier request, ensuring that end users are following the correct procedures and providing advice and guidance as need
  • Evaluate the need for software solutions to streamline processes and procedures
  • Support customer onboarding calls to elevate and bind the customer relationship to ensure they allow full support with the maximum Xometry offerings, based on their business needs. 
  • Initiate the contractual relationship with Xometry procurement software (e.g. PunchOut) and support the initial connection as well as ongoing support as-needed
  • Negotiate and execute supplier and quality agreements, evaluate quality manuals and support customer calls to clarify the expectations and capabilities  
  • Review and resolve compliance requirements

What You Need to Succeed:

  • 3+ years of  experience in compliance management and program/project management  with demonstrated experience in building processes, systems and learning management platforms
  • 3+ years of Sales experience 
  • 3+ years of experience in manufacturing (preferred)
  • Critical thinking and ability to work independently is required.
  • Ability to work in multiple systems and navigate technology effectively 
  • Experience working in a CRM system (e.g. Salesforce) and comfortable inputting notes and data
  • Ability to handle confidential information with discretion
  • Ability to work successfully as a member of a team and independently.
  • Ability to communicate in a clear, concise manner.
  • Ability to prioritize work effectively.
  • Awareness of compliance and information risk controls a plus, but not required
