You will be based from our London or Manchester offices, however we offer a hybrid working arrangement.

A bit about the role

  • Take sole responsibility for areas of live projects designated by Producer, being accountable for delivery and results

  • Produce, review, monitor, update and action all project-related documentation

  • Accurately respond to project directives in a timely manner

  • Build positive relationships with team members, clients and suppliers / freelancers

  • Adapt and adjust approaches to benefit the client's needs ensuring high standards of client satisfaction.

  • Research all potential mediums to support inspirational idea generation

  • Follow WRG's code of business conduct, and comply with all regulatory Company procedures

  • Take ownership for areas of projects designated by Producer, being accountable for delivery and results.

  • Continue to develop overall skills base by taking advantage of training and development provided by Inizio Engage XD.

  • Continue to develop industry knowledge and commence building of freelancer and supplier network.

  • Ensure compliance of all activity with relevant regulatory bodies

  • Oversee the delivery of project artwork/design, ensuring creative output meets the creative brief and is accurately provided to the requisite quality.

  • Monitor Finance relating to all projects ensuring that invoicing and financial administration is of a high standard to keep income coming into the Agency.

 

What will you do …

  • Lead the co-ordination and management of all pre- and on-site production

  • Prepare and maintain accurate project plans and schedules, acting appropriately should the activity or scope change

  • Project manage smaller event budgets (or sections of a larger project) and deliver on financial targets (e.g. breakouts sessions or a gala dinner)

  • Track budgets with accurate reporting and communication on budget variances

  • Create the relevant crew documentation with the technical team

  • Keep accurate minutes of meetings as contact reports and circulate appropriately.

  • Keep Producer, team and, client, abreast of project status, with ownership of the project status report

  • Conduct general stimulus research in search of inspirational ideas, designs, props, themes, decor and activities.

  • Contribute to presentations and proposals as directed by Producer(s)

  • Proofread proposals in advance of presenting to client.

  • Oversee designated creative briefings and activity.

  • Liaise with content owners, speakers and PowerPoint designers

  • Create a technical running order.

  • Create an event Health & Safety file, run H&S briefings on-site

  • Raise purchase orders, keeping ProCim updated, being commercially aware

  • Supplier liaison, including research, quote comparisons and supplier negotiation, manage the supplier payments.

  • Purchasing/booking of project deliverables, ensuring delivery within project/to event

  • Book project team/crew, travel and accommodation where required

  • Update all project costings, monitoring budget margins and flag anomalies accordingly.

  • Travel on site as part of the delivery team.

  • Approximately 2+ years' work experience in the live events industry
