About the Role
As an Executive Assistant, you will play a key role in supporting the COO / Co-founder by managing scheduling, logistics, communications, and high-priority projects. This position requires a strategic thinker with strong attention to detail, excellent communication skills, and the ability to manage multiple responsibilities efficiently. You will be the primary point of coordination for internal and external engagements, helping to maximize executive productivity in a fast-paced environment.
What You'll Do
- Manage calendar, meetings, and appointments for the Co-Founder, ensuring smooth day-to-day operations
- Coordinate logistics for external visitors, including travel arrangements, meeting details, and necessary documentation (NDAs, Visitor Guide, etc.)
- Organize and track speaking engagements, including scheduling, materials preparation (headshots, bios, presentations), and follow-ups
- Schedule investor meetings and manage correspondence
- Organize key internal meetings, including Monday Kickoff, Onsites, and Ops Weekly, ensuring agendas and materials are prepared in advance
- Maintain and update master calendars, templates, and meeting notes on a quarterly basis
- Track and support internal and external event organization, especially as it relates to operations and communications
- Draft documents and start project slides to aid or facilitate in strategic projects and planning.
- Support government relations by maintaining awareness of key contacts and assisting with drafting support letters.
Basic Qualifications
- Bachelor’s degree or equivalent experience in administrative support, business management, or a related field, preferred
- Proven experience managing complex schedules, coordinating executive-level meetings, and handling confidential information
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to multitask and prioritize effectively in a fast-paced environment
- Proficiency in Microsoft Office, Google Suite, Atlassian, and project management tools
Bonus Qualifications
- Experience working with PR, government affairs, or investor relations
- Familiarity with social media management and content creation
- Previous experience supporting executives in a startup or technology-focused environment
