We are seeking a dynamic and organized part-time Office Coordinator to join our front office team. As the Office Coordinator, you will be responsible for managing the administrative tasks and providing support to ensure the smooth operation of our office. This role is essential in maintaining efficient communication and coordination within our team.

This position will report to the Vice President of People + Culture and will be based in the Santa Monica office.

Key Responsibilities:

  • Oversee the general upkeep and cleanliness of the office space.
  • Coordinate with vendors and property manager for maintenance and repairs (e.g. HVAC system, alarms, security cameras).
  • Monitor activities that happen outside the building, such as proper waste disposal and recycling.
  • Determine the need for repairs or renovations.
  • Fix minor malfunctions in office equipment.
  • Coordinate office and parking space allocation.
  • Conduct market research and compare costs and benefits when evaluating new vendors.
  • Ensure compliance with health and safety regulations.
  • Assist in implementing and enforcing office policies and procedures.
  • Manage office supplies inventory and place orders as needed.
  • Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Maintain electronic and hard copy filing systems.
  • Assist in scheduling meetings.
  • Prepare documents, presentations, and reports as requested.
  • Assist in planning and organizing office events and meetings.
  • Support in the execution of game-day operations and special events.
  • Compile and analyze data as needed for reporting purposes.

Qualifications:

  • Proven experience in office administration or coordination roles, preferably in a sports or entertainment environment.
  • Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with the ability to interact professionally with diverse stakeholders.
  • Proficiency in MS Office Suite and other relevant software applications.
  • Ability to handle confidential information with discretion.
  • Flexibility to work three days in the office.
  • Passion for sports and a keen interest in contributing to our team's success.

Compensation

In addition to the benefits above, this role has a pay range between $25 to $30 per hour, non-exempt.
