Reporting To: Director of Operations

Position Summary: The primary focus is to manage the day to day operations of our Newton-based Boston Office and provide executive administrative assistance to our CEO as well as general administrative support to our other Boston-based Leadership Team members.  Another primary function of this role will be to serve as a liaison to other groups within the Company to keep things running smoothly and consistently across the organization.

Position Requirements

  • Provide executive administrative support to the CEO and other leadership team members in the Well Boston office, located in Newton, MA.

  • Serve as liaison with the IT team in providing local, on-the-ground support to the office for IT issues (no expectation of technical skills) - i.e., act as “remote hands” for IT team stationed in other offices

  • Serve as liaison with the Human Resources team in providing local, on-the-ground support to the office related to recruitment activities (e.g., candidate interviews), new hire equipment and access coordination, welcoming and orienting new hires, processing I-9 paperwork, etc.

  • Manage the Newton Well facility, including monitoring facility status, requesting work orders, coordinating and supervising maintenance staff and vendors.

  • Manage office and kitchen supplies; stock, inventory and order adequate quantities to support office operations.

  • Organize office events in collaboration with Well leaders

  • Manage secure access to Well office, including assigning and tracking badges for staff and visitors, documenting and processing visitors in compliance with Well policies

  • Manage meetings; including schedule, prepare rooms; support visits from Well leaders and staff from other locations

  • Maintain Brex purchase card; make purchases for office requirements and submit expense reports using Expensify

  • Participate in facility budget planning

  • Coordinate and collaborate with other Well location Office Managers to ensure consistent approaches to managing facilities, events, office procedures, etc.

  • Be thoroughly familiar with Well policies, as reflected in the IT Security policies and the Well Employee Handbook, to be a first-line point of contact for Boston Office employees with questions or issues related to policies.

Minimum Qualifications

  • 2-3 years’ experience in a similar role

  • Familiarity with Mac and G Suite preferred

  • Basic computer troubleshooting experience

  • Extensive knowledge of office management procedures

  • Excellent verbal and written communication skills

  • Excellent interpersonal and customer service skills

  • Excellent organizational skills and attention to detail

  • Excellent time management skills with a proven ability to meet deadlines

  • Ability to work in a roll-up-your-sleeves, fast-paced start-up environment 

  • Demonstrated professionalism and ability to effectively interface with executives in and out of Well
