Staffing Coordinator

Position Overview:

We are looking for an analytical, high-EQ, ultra-organized person to support the balance of many stakeholders while providing a tailored experience aimed at serving the unique needs of each Vynamic consulting team member.  

As a member of the Staffing Team, you will collaborate with the team daily to partner with the Client Group Executives (CGEs), Account Managers, Opportunity Leads, the Business Development team and Vynamic Consulting Team Members across all hubs to understand all opportunities requiring resources and coordinate those needs with Team Member availability. Our goal is to have a clear picture of project resource requirements and align them to our team member’s skill set, experience, and interests in support of our business.

The Staffing Coordinator will also collaborate extensively across various departments within Vynamic including the C-suite, Operations Team, Business Development Team, Finance Team, Talent Team and Marketing Team – as well as other team members across the organization.

Staffing Administration

·        Assist in creation/implementation of evolving best practices and policies; Maintain core staffing documents (e.g. Consulting Operations New Hire Orientation presentation, Staffing Reference Guide, Delivering Excellence, LOA guides, as needed)

·        Partner with Staffing Team to understand all opportunities (new projects & extensions) requiring resources and coordinate all support required for staffing decisions across Vynamic

·        Work with Opportunity Leads to update/maintain pipeline opportunities in Financial Force, in partnership with Business Development team and Finance as needed

·        Partner with the Staffing Senior Manager to support the Unstaffed team members and process; help creating content for meetings and assigning unstaffed requests as needed

·        Support continued evolution of Vynamic’s staffing model, processes and system enhancements (inclusive of testing as needed)

·        Maintain and update supervisory org structure across the business on a bi-weekly basis

Reporting & Forecasting

·        Partner with the Staffing team to create, run, maintain and enhance weekly reports and forecasts to highlight overall staffing environment including available team members and pipeline opportunities

·        Collaborate with opportunity leads and account leaders across the business to enforce Financial Force accuracy on all opportunity records

·        Partner with Staffing team to conduct quarterly contract analysis on current team member contracts

·        Identify and create new reports that enable the business to better forecast supply and demand and help inform hiring decisions

·        Assist with slide preparation to summarize reporting/forecasting outputs as needed

·        Support any implementation and change management of staffing related components related to the Financial Force platform

New Hire Administration

·        Manage communication for all incoming new hires: schedule initial outreach and staffing follow up conversations and coordinate staffing conversations with opportunity leads

·        Support New Hire Orientation activities, including conducting check-ins with New Hire and maintaining content for presentations

·        Create and maintain new hire database and customized opportunity lists for each individual new hire

·        Support new hires and existing team members in creating, updating, and uploading profile templates

·        Manage and facilitate 30-day check ins with all new hires; collate team member feedback into themes and action

Contractor Administration

·        Support Senior Staffing Manager to manage repeatable aspects of the contractor management process

·        Support continued evolution of Vynamic’s contractor staffing model

 

Qualifications:

  • Bachelor’s degree required
  • 3+ years of professional experience
  • Philadelphia or Boston preferred location
  • Excellent organizational skills, keeping track of many moving pieces amid constant change; strong attention to detail
  • Strong analytical skills that allow for the development & management of data-driven reports; Experience in forecasting a plus
  • Excellent critical thinking skills to help solve business problems and make decisions
  • Strong working knowledge of excel, CRM and demand tracking systems (e.g., Salesforce)
  • Excellent planning and project management abilities; general knowledge of business operations, objectives, strategies, process and information flow
  • Executive presence, strong EQ, and ability to engage and effectively manage various stakeholders
  • Strong verbal and written communication skill
