Position Overview:

The Operations Specialist is responsible for supporting a variety of key areas within the Operations function to support the business. The Operations Specialist will report to the Communications and Change Director, interacting extensively with the PCM team and Operations Teams (BD, Staffing, etc.), as well as Finance and Consulting team members.  The initial focus of this role will be to support a variety of business areas such as project & change management, communications, systems (FinancialForce/Oracle), and compliance.

Location: US Hub preferred

Responsibility/Essential Function

40%       Project & Change Management

  • Support and maintain PCM Framework (status tracking, templates, methodology)
  • Support project change management needs
  • Responsible for creation and maintenance of internal project dashboard
  • Support internal projects as needed from a business analyst perspective (requirements, design, configuration, testing, deployment)

25%       Communications/Knowledge Base

  • Gather & post #icymi each week
  • Create & Distribute AM Communication Slides weekly
  • Support Communications & Change Director in drafting all company communications
  • Support Communications & Change Director in maintenance of communications & change management SharePoint Site & all company call tracker
  • Maintain the Organizational Structure SharePoint Site
    • Includes monthly update of AMs/CGE slides
  • Coordinate updates of Delivery Excellence & Skillz/Thrillz decks on a Quarterly basis
  • Support activities to encourage team member contributions to Knowledge base
    • Monitor automated reminder emails for distribution
    • Work with account offboarding leads and/or account managers to proactively identify projects to highlight
    • Assist with the maintenance of content within the knowledge base repository through ongoing organization, tagging, and clean-up activities

10%       Operations

  • Run Onboarding process for new Account Managers
  • Responsible for AM and CGE Go To updates in systems
  • FF Skills & Certifications Support and Reporting

10%       Technical Related Learning & Support (Automation and Data Analytics)

  • Participate in knowledge transfer or training activities to learn how to provide automation and data analytics related support by working with the Vynamic Tech Operations Director to be able to provide back-up support

5%         Oracle/FinancialForce Support

  • Responsible for updating the Account Manager and Client Group Executive alignment in FinancialForce on the account record
  • Support recurring data updates in FinancialForce

5%         Compliance

  • Manage overall HIPAA Process
    • Send and monitor Quarterly HIPAA Survey
    • Run yearly HIPAA Audit
    • Maintain HIPAA Policy & SP Site
    • Work with partners at Inizio to ensure HIPAA compliance

Qualifications:

  • Bachelor’s degree required
  • 2-3 years of experience
  • Experience working in or with an operations function preferred (preferably for a service-oriented company)
  • Strong knowledge of MS Office Products, especially PowerPoint, Excel, SharePoint & Forms
  • Basic working knowledge of reporting/analytics
  • Strong verbal and written communication skills
  • Excellent organizational skills, keeping track of many moving pieces amid constant change
  • Excellent planning and project management skills
  • Strong analytical skills
  • Ability to prioritize and multi-task successfully in a fast-paced environment
  • Excellent follow-up skills and attention to detail
  • Operates within Vynamic values
