Position Overview: 

The Finance Associate primarily supports the Finance function and reports to the Finance Director. This role will provide comprehensive finance administration and will work closely with the Account Managers. The Finance Associate is responsible for preparing and organizing data, ensuring data quality, and monthly reconciliations primarily for the Client Invoicing Process within the FinancialForce System.  

Responsibilities: 

Client Invoicing & Revenue Coordination  

  • Create and keep updated Project Budgets, store Purchase Orders  
  • Create Project billing milestones for T&M and Fixed Fee Projects  
  • Track and follow-up with Account Managers that all signed Agreements are received and appropriately stored  
  • Monitor Project Contract status and update Project system status  
  • Assign team members to Active projects and ensure accuracy with rate, start dates and allocations according to approved pricing submissions and contractual details  
  • Create monthly invoice files, update with actuals, keep up to date  
  • Prepare a monthly analysis on project billing details and remaining funds  
  • Reconcile Project budget, invoices, timecards and recognized revenue schedules  
  • Prepare accrual estimates for Clients, as requested  
  • Run billing rules for Projects once invoice estimates are reviewed and draft client invoices  
  • Track and monitor the invoice submission process, escalate as needed to ensure timely approval of all invoices  
  • Identify, research and resolve issues, escalate as necessary  
  • Update revenue support files, reconcile against published actuals for accuracy  
  • Send Timecard reminders and calendar invitation twice monthly, monitor Consultant timecard submissions and follow-up as necessary  
  • Responsible for moving projects from Active to Close out once project completed and all Financial steps have been recorded  
  • Draft monthly AR/invoice submission emails to clients, as needed  

Financial Reporting  

  • Upload revenue recognition line item details to financial tool on a monthly basis  
  • Publish financial results on internal SharePoint homepage monthly  
  • Report monthly utilization aligned to recorded revenue  
  • Support Bonus Reconciliation and Reporting processes  

Finance Support  

  • Pull and organize audit data for internal and external audits  
  • Provide operational and financial support for Account Teams 
  • Financial Process documentation; creating and maintaining standard operating procedures  
  • FinancialForce troubleshooting and Q&A  
  • Manage financial calendar for Finance Team  
  • Create new users and contacts in Financial Force  

Qualifications: 

  • Bachelor’s degree, Finance or Accounting Major preferred  
  • 2-3 years’ experience working in Finance in a professional services firm  
  • High business acumen  
  • Strong knowledge of MS Office products, especially with Excel  
  • Organized, detail-oriented, and competent follow-through skills  
  • High EQ  
  • Ability to prioritize and multi-task in a fast-paced environment while meeting deadlines  
  • Ability to execute activities within complex processes  
  • Operates within the Vynamic Values
