Department: Finance & Administration

Location: MSF Canada Toronto or Montreal Office 

Frequency: 4 hours per week minimum during business hours (9am-5pm, Mon-Fri)

Duration: minimum 3-month commitment 

BACKGROUND 

The MSF Canada team recruits medical and non-medical personnel to support our projects internationally, raises public awareness through communications and advocacy, and helps to finance international MSF projects through its fundraising programs. The Canadian offices also provide support to the international medical interventions through a range of initiatives such as Telemedicine and climate impact related projects.

The Administration team supports the Finance & Administration (FinA) department through coordination and support in areas such as reception services, facilities coordination, the Volunteer Program, and ad-hoc events.

OBJECTIVE 

Administration Volunteers play a key role in coordinating daily office operations for MSF Canada, providing essential support to staff, volunteers, and partners, and maintaining the administrative foundation of our social mission. They ensure an efficient workspace, promote a positive office culture, and take a service-oriented approach in their work. They are the first point of contact for all external and internal people coming into our offices in Toronto and Montreal and as such represents the organization daily.  

TASKS 

  • Provide reception services (e.g. greeting visitors, answering phones, responding to emails) to MSF Canada guests and stakeholders.
  • Data entry & directories maintenance
  • Support incoming and outgoing mail & courier
  • Various administrative tasks as needed
  • Special projects with other departments such as data entry, research, filing, etc.

REQUIREMENTS 

  • Commitment to MSF principles and values
  • Customer service or administrative experience
  • Demonstrated experience in verbal and written communication, active listening, and customer service skills
  • Demonstrated knowledge of Windows & Microsoft Office
  • Organization & ability to juggle competing priorities
  • Bilingualism in English & French preferred 

WORKING CONDITIONS  

  • Work is generally carried out during the day, Monday to Friday (9:00 a.m. to 5:00 p.m.)
  • Duties require long hours sitting in front of a computer screen, keyboarding, and visual work 
  • The office environment is open concept and workspace may be shared with office colleagues 
  • Workstation consists of a desk, swivel chair, and telephone
  • Volunteers are required to follow office protocols (i.e. Covid-19 and Health & Safety)
