The Office Manager will have excellent time management skills and is able to prioritize multiple incoming requests at once. They will also possess strong communication skills and will represent Virta with positivity, professionalism, and poise. As the first person our guests interact with, this role has a huge cultural impact on both the guest and employee experience at Virta!

Responsibilities:

  • Cover all opening duties for the office
  • Manage our ADT Building Access Control System and Envoy Visitor Management System
  • Ensure all visitors and vendors sign-in for their hosts and complete the NDA
  • Issue visitor badges, offer refreshments, and direct guests to restrooms as needed
  • Manage Grasshopper voicemail system
  • Maintain full knowledge of security, emergency preparedness, and fire safety plans
  • Sort and distribute incoming mail/deliveries and prepare outgoing mail/deliveries
  • Help with twice weekly meal catering set-up
  • Help with seasonal event planning to promote a positive company culture

Requirements:

  • Positive spirit and professionalism
  • Detail-oriented, organized, able to manage a lot of moving pieces
  • Effective communications skills both externally and internally, verbally and written
  • Tech savvy, knowledgeable of Apple products, Google Mail, Calendar, and Documents
  • Excitement about working in a fast-paced environment

90 Day Plan:

  • Establish incoming/outgoing mail procedures
