About the Role:

The Grants Administration Officer will work across multiple areas of a fast-moving nonprofit to deliver excellent customer experiences. In collaboration with Programs staff, Shared Services staff and external constituents (e.g. grant applicants, external reviewers) this individual will manage end-to-end grant and competition program timelines and processes that intersect with all three of VentureWell’s program areas: Ventures, Higher Education Innovation Ecosystems, and Commercialization. This role requires a combination of domain expertise, technical acumen, creativity, and relationship management skills necessary to maintain and enhance grants management workflows, processes, and systems and to deliver innovative solutions to internal partners and customers.

This role will report to the Director, Planning and Partnerships. 

Responsibilities:

Grants Administration Management (65% of time)

  • Manage the administration of VentureWell’s grant and competition program timelines and processes across multiple VentureWell program areas
  • Creating and open Calls for Proposals (CFPs), and serve as primary point of contact for intake, review, notification and management of grant and competition program workflows
  • Manage the flow of grants revenue by program and work with the Finance & Administration team on budget reconciliation
  • Update grant and competition program guidelines and review criteria, assist with initial proposal screening, recruit and communicate with reviewers, group proposals for review based on program specifications, schedule reviews, and correspond with external reviewers, with support from Programs staff as needed
  • Proactively correspond with applicants and grantees, helping applicants with navigating VentureWell’s system requirements and eligibility with consistently prompt and excellent customer service
  • Advise Programs staff on funding decisions that maximize available funds, with the possibility of participating in final grant selection processes
  • Manage written consent requests of final grantee selections to the VentureWell Board Grants Committee for review, approval, and follow up as needed
  • Maintain accurate records and conduct post-award follow-up
  • Manage the administration of VentureWell’s annual OPEN Conference related to the following: creating and opening CFPs; proposal intake, review, selection and notifications; communications with session speakers and poster presenters related to session content

Grants Systems Management & Continuous Improvement (20% of time)

  • Document and adapt grant processes and workflows to meet evolving and changing program needs
  • Maintain accurate grant records and files, and proactively identify and incorporate continuous improvement opportunities of grant administration tools and systems
  • Oversee accurate record-keeping and applicant compliance through VentureWell’s proposal intake portal and grant management software
  • Collaborate with the Data Intelligence team to ensure end-of-grant and end-of-program reports are completed 

Administrative Support & Management (15% of time)

  • Work with Marketing, Communication, and Events (MCE) team to oversee institutional membership inquiries and renewals
  • Work with OPEN conference lead on agenda development and scheduling, and provide session information to MCE team for print and online materials
  • May supervise a temporary or full-time resource providing grants administrative support
  • May support or amplify outreach to potential applicants

What You Bring:

  • At least 3 years of related experience within grant administration in a non-profit organization, foundation, or government entity is required. 
  • Experience in proposal and grant administration design, development and delivery is required.
  • Strong project management skills and ability to manage and replicate end-to-end workflows in order to meet deadlines and deliver excellent customer service 
  • Accomplished written and oral communication skills with an ability to articulate and synthesize information in a compelling and organized manner
  • Ability to analyze and interpret data and source material in order to extract key information and deliver compelling recommendations
  • Highly adaptable; brings detail orientation to complex and ambiguous situations with enthusiasm and solutions orientation
  • High degree of digital fluency using cloud-based office tools such as GSuite, CRMs, team collaboration tools, and other web-based applications; ability to incorporate these tools into day to day work

Our Benefits:

    • a salary range of $70,000-$85,000 commensurate with experience and internal equity
    • 403 (b) with 200% match up to a maximum contribution from VentureWell of 10% when the employee puts it 5% (eligible after one year of service for the match)
