Airship is seeking an Executive Assistant to provide complete executive and administrative support to the Chief Financial Officer, SVP Customer Success and key administrative staff including Legal and HR Executives and the management and employees within those organizations.
You are an experienced Executive Assistant that is exceedingly well organized, flexible, personable and enjoy solving administrative challenges. You have ability to interact with staff in Portland in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
Support staff meetings and coordinate the agenda, meeting notes, action items, and follow up
Proactively seek out ways to take on tasks from executive management so that it can be as effective as possible
Assist in achieving and maintaining effective flow across the Finance and customer success organization and the
Calendar management, requiring interaction with both internal staff, customers, partners, and vendors
Assist with incoming and outgoing electronic communications on behalf of the executive management
Assist with preparation of presentation materials
Review and summarize miscellaneous reports and documents; prepare background documents and outgoing mail as necessary
Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner
Arrange travel schedule and reservations for executive management as needed
Skills and Experience Required:
Experience supporting an executive team member
Google experience, scheduling/calendaring using Google Calendar, Gmail and Google Docs creation and support
Expert level written and verbal communication skills
Strong decision making ability and attention to detail
Strong experience with Apple Mac, Keynote/Powerpoint, Word, Excel
Experience with and the desire to use collaboration software (e.g., Confluence, Slack,etc.)
Experience scheduling travel arrangements for management
Experience working in a high tech company is a plus
