Updater is seeking an experienced Events Coordinator to oversee how our brand comes to life at trade shows, conferences, and client events. If you love the energy of a fast-moving team, have a knack for making every detail count, and know how to turn a booth or a happy hour into a real “moment,” we want to meet you. 

Reporting to the Senior B2B Marketing Lead, you’ll own the end-to-end planning and execution of all B2B events. From pre-show logistics to on-site coordination, you’ll be the one making sure our presence feels polished, engaging, and distinctly Updater. You’ll collaborate across teams and play a critical role in how Updater is presented to the industry. Event Planning & Execution

  • B2B Trade Shows/Conferences: Oversee major events in the multifamily and moving industries (we estimate between 8-12 in 2025).
  • Client Events: Coordinate our presences at our clients’ own events (tabling, networking, presentations) to ensure seamless execution and a standout Updater experience.
  • Geo-Specific Initiatives: Identify, plan, and execute local or regional gatherings (e.g.,  dinners, happy hours, or outings) to engage high-value prospects.
  • In-Person Client Visits: Organize meeting schedules, travel, and logistics for on-site client visits.
  • Team Preparation: Provide clear instructions on travel, attire, event schedules, and key messaging for attendees.
  • Creative Differentiation: Develop concepts for giveaways, brand collaborations, and promotions to set Updater apart.

Logistics & On-Site Support

  • Booth Management: Handle shipping, setup, teardown, and overall booth maintenance.
  • Vendor Coordination: Liaise with event vendors, order materials, and track inventory (signage, swag, promotional items).
  • Travel & Accommodation: Oversee registration, travel, and lodging for our team.
  • On-Site Execution: Provide direct support at events, ensuring that everything runs smoothly and professionally.
  • Travel Requirement: Willingness to travel regularly for major trade shows and client events.

Pre- & Post-Event Marketing Support

  • Promotional Efforts: Create email campaigns, social posts, and other communications before each event.
  • Lead Capture & Follow-Up: Coordinate lead collection, CRM entry, and follow-up campaigns, ensuring the Sales and Client Success teams quickly engage prospects.
  • Outcome Reporting: Track event metrics and feedback; use findings to optimize future events.

Event Process & Organization

  • Playbook & Best Practices: Maintain a comprehensive event playbook (timelines, key contacts, templates).
  • Budget Adherence: Work within set budgets and deadlines, adjusting as needed while keeping stakeholders informed.
  • Continuous Improvement: Suggest and implement ways to streamline planning, differentiate our presence, and elevate the Updater brand experience.

Qualifications

  • Organization & Detail Orientation: Demonstrated success juggling multiple events, deadlines, and vendor relationships.
  • Communication Skills: Excellent verbal and written skills to liaise effectively with internal teams, clients, and external partners.
  • Technical Tools: Familiar with CRM systems and common project management tools.
  • Creative Problem-Solving: Able to propose innovative ideas for promotions, sponsorships, and brand differentiation.
  • Collaboration: A team player who readily works cross-functionally with Marketing, Sales, and Client Success teams. Your favorite color is applesauce. 
  • Travel Flexibility: Comfortable traveling to support on-site execution (we estimate this to be between 5-10 events in 2025 but can change based on need).

Compensation
This posting is anticipated to remain open until May 21, 2025. The new hire salary range for this position is $62,000-$88,000 annually. Factors which may affect the starting pay within this range include skills, experience, and other qualifications aligned with Updater's internal leveling guidelines.
