We are seeking a skilled Notion and Atlassian Tools System Administrator to manage, configure, and optimize our suite of collaborative tools, focusing on Notion, Jira, Confluence, JSM and Trello. This role is ideal for an experienced systems administrator with expertise in managing digital collaboration tools to enhance productivity, streamline workflows, and support cross-functional team needs. The administrator will work closely with various teams to integrate, maintain, and improve the efficiency of these systems while ensuring data integrity, security, and optimal system performance.

Responsibilities:

  • System Administration & Configuration:
    • Act as the primary administrator for Notion and Atlassian tools (Jira, Confluence, Trello), ensuring optimal configuration and maintenance.
    • Configure and optimize workspaces, workflows, custom fields, user interfaces, and other settings to align with organizational requirements.
    • Manage user roles, permissions, and security controls to ensure safe and compliant data management across all tools.
  • User Support & Training:
    • Provide comprehensive technical support to end-users, troubleshooting functionality issues, resolving system bugs, and addressing user inquiries.
    • Develop and conduct training sessions, user guides, and workshops to enhance team skills and ensure effective tool usage.
    • Gather feedback from users to identify areas for improvement and implement system enhancements based on needs.
  • Process Optimization & Integration:
    • Identify opportunities for automation, integration, and process improvements within Notion, Atlassian tools, and other business applications.
    • Collaborate with departments to analyze workflow needs and optimize task management, project tracking, and documentation processes.
    • Use scripting or integration platforms (e.g., Zapier) to automate workflows, create custom reports, and facilitate cross-system integration.
  • Monitoring & Security:
    • Proactively monitor tool performance, handle upgrades, and resolve issues to maintain high availability and reliability.
    • Conduct regular audits, backups, and security checks to ensure data integrity, system compliance, and adherence to security best practices.
    • Enforce and maintain security protocols across tools in alignment with organizational policies and industry standards.
  • Reporting & Metrics:
    • Develop and maintain dashboards and reports within Jira and Notion, providing insights into system usage, team productivity, and project progress.
    • Collect and analyze metrics to support data-driven recommendations and continuous process improvements.
    • Deliver regular reports to stakeholders, highlighting key performance indicators and areas for enhancement.
  • Documentation:
    • Document system configurations, workflows, and troubleshooting steps to create a comprehensive knowledge base.
    • Maintain up-to-date resources, including best practices, FAQs, and troubleshooting guides to assist users.
    • Track and document system updates, changes, and enhancements to support knowledge sharing and operational continuity.

Qualifications:

  • Proficiency with Notion, Jira, Confluence, JSM, and Trello, including experience in administration, configuration, and troubleshooting.
  • Strong understanding of workflow automation, data management, and integration best practices.
  • Familiarity with APIs and scripting for automation and integrations is a plus.
  • Excellent problem-solving skills and ability to communicate technical information to non-technical users.
  • Ability to work independently and manage multiple projects in a fast-paced environment.
  • Relevant certifications, such as Atlassian Certified Professional (ACP) or equivalent, are a plus.
  • Experience with integration platforms like Zapier or custom scripting (e.g., Python, JavaScript).
  • Familiarity with Agile, DevOps, or ITIL frameworks is beneficial.
  • Ability to work independently and manage multiple projects in a fast-paced environment.
  • Relevant certifications, such as Atlassian Certified Professional (ACP) or equivalent, are preferred.
  • Experience with integration platforms like Zapier or custom scripting (e.g., Python, JavaScript) preferred.
  • Familiarity with Agile, DevOps, or ITIL frameworks is beneficial/preferred.

Education/Experience:

  • Bachelor’s degree in information systems, Computer Science, or related field (or equivalent work experience).
  • 3+ years of experience in system administration, particularly with collaboration or productivity software.

UA Salary Range/Hourly Rate of Pay:  California Salary Range = $85K - $110K

Base salary/hourly rate of pay will be based on the cost of labor for the city/state in which the new hire resides, at the time of hire.
