About the job

You will provide proactive calendar support, juggling multiple deliverables with competing deadlines and take effective action - sometimes without knowing the full picture. You will partner with executives to drive execution on team initiatives in support of business priorities. You will serve as a confident point person for both your executives, their direct reports and the administrative business partners in your organization.  The successful Executive Business Partner will handle themselves with aplomb and confidence and never sweat the small stuff! 

Responsibilities

In this role, you will:

  • Complete a variety of everyday tasks for two Vice Presidents and their leadership team including, but not limited to, managing complex and busy calendars, and being a general deputy of time. 
    • Partner with your execs to understand their priorities in order to effectively research quickly to help create work-backward calendars and implement processes related to all operational elements of the organization.
    • Effectively address meeting requests (stack rank meeting requests and redirect as needed), work independently and make decisions on behalf of your executive in sometimes ambiguous situations.
  • Organize and assist with special events, team activities and successful meetings through research, participant coordination, material preparation and logistics management.
  • File and approve regular expense reports. Book travel.
  • Act as a point person for your executives’ direct reports, building strong relationships across their team to progress your executives’ priorities and address difficult situations as needed.
  • Draft presentations, take meeting minutes/actions, and coordinate oral and written communication for executives.
  • Recognize where processes can be improved and make adjustments, own long term projects and have a deep understanding of the overall business. 
  • Schedule and coordinate logistics for meetings, conferences, and special events (onsite & offsite), including ongoing department meetings and events when the leadership or staff is traveling.
  • Project manage ongoing initiatives via meeting management, document organization, and both email and in-person follow-ups. Partner with cross-functional leaders to ensure successful project completion.

Required:

  • 5-7+ years’ experience supporting senior level executives in a fast-paced environment, ideally within the High Tech industry, with the ability to make good decisions in a fast-paced environment with changing priorities.
  • Superior attention to detail and high level of integrity and discretion in handling confidential information; strong verbal and written communication skills along with excellent organizational skills.
  • Demonstrated ability to build cross-functional relationships, partner closely with leaders, and keep multiple teams and projects on track in parallel. Ability to balance the needs of multiple senior leaders, and longer-term projects. Ability to work with and alongside Administrative peers and understand the need to effectively work as a group. 
  • Plan and facilitate virtual, in person, or hybrid leadership summits and team-building events. 
  • Experience with contract management, procurement processes and proficiency with common administrative tools (i.e. Zoom, Oracle, G-Suite, etc.)
  • High attention to detail and consistent follow-up.  
  • Flexibility to be available beyond normal office hours and support remote work and travel schedules. 
  • Proficiency with Mac and the Google suite of business programs, especially Google calendar, mail, drive, docs, and sheets.

Desired:

  • Internal communications experience - drafting emails, program updates, etc.
  • Experience planning and preparing for business operating cadences such as Quarterly Business Reviews or Long Range Planning meetings.
  • Experience supporting Technology Engineering Executives is a plus.

Location 

This role will be USA - Remote 

No travel is expected at this time.

  • The estimated pay range for this role, based in Colorado, is $90,320 to $112,900.
  • Additionally, this role is eligible to participate in Twilio's equity plan.

The successful candidate’s starting salary will be determined based on permissible, non-discriminatory factors such as skills, experience, and geographic location within the state. This role is also eligible to participate in Twilio’s equity plan and for the following benefits: health care insurance, 401(k) retirement account, paid sick time, paid personal time off, paid parental leave.
