About the Position

As Office Experience Specialist (OES) you will serve as the first point of contact for office visitors and employees. You will perform a variety of office administration tasks in a fast-paced startup-minded environment. You will report directly to the Office Experience Manager (OEM), and additionally take periodic direction from senior business leaders on-site. Working collaboratively, you will be responsible for supporting and creating an inspiring, engaging, hospitality-like experience for our colleagues, clients, and guests.

Duties & Responsibilities

  • Support the office’s Employee Experience strategy
  • Answer phones, greet and announce visitors in a timely manner
  • Field and follow up on all queries from the public and customers and triage workflow
  • Keeping the reception area clean and tidy at all times
  • Resolve internal tickets, ensuring appropriate and timely fulfillment of requests
  • Coordinate the new hire onboarding process with hiring Manager, HR and IT departments
  • Maintain and manage space planning platform (FOX FMS)
  • Coordinate and facilitate all internal office/workstation moves
  • Enforce security access control protocols; ensure all visitors are signed in and out of the building
  • Inventory, order and maintain a consistent level of office supplies and equipment
  • Process facilities-related invoices and credit card expenses
  • Assist with daily inspections of internal and external facility to assure order and cleanliness
  • Participate in the health and life safety programs to ensure required drills and training
  • Facilitate the mail distribution process, shipping and receiving processes, and courier services
  • Assist with the planning and facilitation of office internal events (Happy Hours, company meetings)
  • Attend weekly 1:1 meetings with the Office Manager and/or HR department
  • Coordinate catering and food and beverage ordering, delivery, and set-up
  • Collaborate with IT to ensure operation of office equipment including printers
  • Maintain public- and staff-facing communication boards and information screens
  • Provide general support of all office staff where necessary
  • Assist with travel booking program

 

Skills & Experience

  • At least two (2) years of experience in the retail or hospitality industry
  • Excellent customer service skills
  • Ability to communicate effectively
  • Ability to manage the expectations of contractors, visitors, and employees
  • Ability to multi-task and coordinate several efforts simultaneously
  • Savvy with Microsoft office programs and web-based platforms

 

Education & Certification

  • 3-year Degree preferred
  • CPR/AED & Fire Marshall Training certification desired

 

Physical Demands- While performing the duties of this job, you will be routinely required to:

  • Sit; walk; talk; hear; use hands to keyboard, stoop, kneel, crouch, twist, reach, and stretch
  • Lift and/or move up to 20 pounds 
  • Work under deadlines
  • Frequently walk around the facility, walk up stairs between building floors
  • Observe and respond to people and situations and interact with others
  • Quickly learn and apply new information or skills
