TouchBistro is looking for an experienced Executive Assistant to join our team! Reporting to the Manager of Facilities, the Executive Assistant will be responsible for providing support in planning and overseeing the day-to-day of our CEO and Executive Team (SLT).  

To be successful in this role, you should have a knack for anticipating the needs and preferences of others, be a proactive problem solver with meticulous attention to detail, have great time management skills and be able to act without guidance. Previous experience working in an office environment, performing administrative duties and providing support to C-Suite management is a must!

Note: This is an in-office position, 5 days a week with some flexibility.

Your Day-to-Day

  • Calendar management, including scheduling meetings, boardrooms and appointments for CEO and SLT members 
  • Prepare and manage various forms of communication for SLT; agendas, emails, notes, etc.
  • Handle confidential, urgent departmental matters as directed
  • Act as a high level gatekeeper with both internal and external parties while building successful relationships on behalf of the CEO
  • Book travel arrangements including flights and hotel accommodations
  • Organize social events, both internal and external (i.e. monthly/quarterly business reviews, working lunches/dinners)
  • Prepare expense claims and reconcile monthly corporate credit cards expense statements
  • Follow up and act as a liaison with various individuals at all levels of the organization
  • Be willing to take on special projects like coordinating team events, or community-building activities
  • Order and track gifts and/or gift cards on behalf of the company
  • Cover phones and reception as needed  
  • Some evening and weekend availability, as required

All About You

  • You have 2+ years of experience working as an Executive Assistant, partnering with senior leaders in a fast-paced environment
  • You have experience with tools like Slack, Google Calendar, Google Sheets, Google Slides, Nexonia
  • You're self-motivated and exercise discretion, tact, and professionalism
  • You’re detail-oriented, love to be organized, and stay cool under tight deadlines
  • You love creating and maintaining positive working relationships with internal and external stakeholders
  • You have experience with business travel logistics, scheduling meeting arrangements and booking meals/social events
  • You’re comfortable creating internal documentation and processes from scratch, with minimal guidance and a high degree of business acumen (order forms, records keeping, training documentation, etc.)
