Role Title: New Space Clinical Openings Manager
Role Summary: As the NCSO Manager you will oversee the day-to-day clinical operational planning and coordination of new clinic openings to ensure successful openings of all clinic spaces at Tia. You will work closely with the clinic operations, site operations, design, and development teams to create and refine clinical processes and systems for seamless and collaborative openings, including organizing and planning across clinical vendor selection and account set up for supply ordering, medical equipment procurement, delivery, lab and exam room set up, training and on-site set up plans.

1. Develop, uphold, and continuously improve the back of house procurement process as it relates to new clinic medical supplies and medical equipment, budgets, processes, and communication
- Negotiate medical vendor contracts, terms, pricing and deadlines with vendors and suppliers, working to find cost savings
- Order all medical supplies and medical equipment including leased equipment
- Oversee a supplies page turn with Clinical team before ordering
- Source and coordinate storage and delivery of all supplies, medical equipment, additional furniture, and accessories with the NSO team
- Track all supply orders from purchase to warehouse delivery to space delivery
- Responsible for external vendor coordination. Serve as the bridge between external teams and the internal Tia team; compassionate and consistent communication between all teams\
- Set up external vendor accounts and negotiate local and national deals whenever possible
- Develop relationships with vendors in each location or region
- Develop and maintain clinical systems and processes for communication, scheduling, coordination and procurement related to new space openings
- Document and establish clinical SOPs and handover to the clinic team
- Work cross-functionally to ensure all teams are updated and prepared for new space openings
- Maintain and update a system of detailed checklists, timelines and budgets to be used to organize openings and hold all parties accountable
- Work with Clinic Ops Team and Training Team to plan and schedule training in clinic before opening
2. Responsible for clinical set up onsite, necessary training, and the close out of spaces with the new space opening team
- Set up spaces including unboxing, organizing and inventorying of all medical supplies and equipment as the point person for medical vendors/equipment delivery and set up
- Set up the clinical spaces for new clinics (lab, exam rooms, phlebotomy, etc)
- Inventory all supplies at move in and hand over to clinic manager
- Manage supply delivery and organization of clinical areas during move-in week and provide clinical facility training for staff including but not limited to equipment set up, troubleshooting, and organizational SOPs
- Create and manage specific clinic move in plan for each new space, taking into account construction completion, building management, city regulations and opening timeline factors with the New Space Openings team
- Collaborate with the new space opening team to finalize the Site guide to hand off to the clinic management team inclusive of; medical equipment manuals, warranty, routine maintenance set up, sharing vendor info, etc.
- Ensure all clinical logs and SOPS are created and handed off, expectations are set, and management is prepared to sign off on compliance
3. Work cross-functionally with the clinic operations, site operations, design, and development teams to create, refine, and streamline processes, systems, and planning.
- Partner with the Clinical Operations team to design and implement systems, process and procedures to rollout at site openings and close out
- Help build and refine clinical procedure documents to scale opening new spaces
- Provide insight into training design for new spaces
- Document and establish clinical SOPs and handover to clinic team
- Research and rollout new systems, tools, and write proposals
- Partner to ensure pre-opening site audit / health dept requirements and oversee execution of employee competency, SOPs, and employee and patient safety
- Partner with the Design team as an inputter with a clinical perspective and feedback in order to improve space designs and standards
- Attend internal meetings to give clinical design input and feedback to build clinical design standards with the design team
- Attend meetings with vendors and consultants (architects, designers, GC) to provide input regarding medical equipment needs, safety, clinical compliance, regional permitting, and workflow
