Job Overview / Responsibilities:

We are currently seeking a motivated, enthusiastic VIP Relations Apprentice to join our entertainment marketing and promotions team in our Los Angeles (Playa Vista) office.  Our entertainment marketing and promotions team connects brands with pop culture celebrities and influencers.

  • Assist in managing our warehouse and keeping track of our inventory
  • Update and maintain all client inventory and communication with our day-to-day warehouse contact
  • Update and maintain all Google trackers shared with the warehouse that tracks inventory, mailing addresses, product feedback, etc.
  • Update and maintain all Google trackers shared with clients on inventory needs, status of projects, etc.
  • Update and maintain all Google trackers shared internally with talent/influencer social media hits, product sent, profile descriptions, any other call-outs, etc.
  • Research and identify relevant celebrities & influencers to build brand ambassador networks for brand campaigns, launches, etc.
  • Support ideation and thinking around strategic brand mailers around campaigns and product launches
  • Scan all forms of social media, trade publications, broadcast, etc. for brand and celebrity placements 
  • Update and maintain all client inventory and communicate with your supervisor any client inventory needs
  • Place calls to agents, managers, publicists, and coordinate calls for clients, publicists, and management and our internal team
  • Administer deck creation for all clients and new business opportunities
  • Execute mailers (e.g. Collecting contact info, data entry, mailer recap decks, talent suggestions, scanning social, securing social, etc.)
  • Coordinate in-house celebrity and influencer visits with the internal team
  • Coordinate meetings with managers, publicists, agents, etc. for the internal team
  • Assist with daily activity reports, status reports, etc.
  • Administer vendor invoicing, vendor forms, purchase orders and fulfillment
  • Assist in all new business efforts (e.g. gathering materials, brainstorming, administrative work, etc.)

  • Writing & Communication: Strong written and verbal communication skills, and experience communicating internal and external clients
  • Positive Attitude: Ability to approach each campaign, brand, celebrity, influencer, etc. with a positive outlook and strive for continuous improvement and optimization
  • Self-starter: Ability to effectively work independently with ability to work in fast-paced, deadline-driven environments
  • Creativity: Ability to help develop creative campaign strategies and influencer promotions that resonate with the target audience to achieve our client’s campaign goals
  • Organization: Must be able to handle multiple campaigns simultaneously and have excellent personal organization skills and high attention to detail
  • Computer Savvy: Extremely internet savvy and knowledge of Microsoft Office products (excel, word, Keynote, powerpoint, outlook, etc.) to assist with finance and client reporting
  • Education: BA or BS college degree in marketing, advertising, journalism, communications or related
