Job Responsibilities

  1. Support seniors’ daily work, including calendar management, travel arrangement, meeting coordination and business receptions
  2. Assist Operations Manager in the onboarding process for new hires and partners with HR to maintain office policies as necessary and organize office operations and procedures
  3. Help coordinating department administrative workstreams and optimize work efficiency, help Operations Manager for the administrative issues, including HR, procurement, attendance, supplies, expenses, contact management etc.
  4. Facilitate the development of department management system and implement administrative protocols and procedures
  5. Coordinate with IT department on all office equipment include software
  6. Assist Operations Manager to organize department activities for team building and corporate culture fostering


Job Requirements

  • Proven office management, administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal business communication skills in English and Chinese (due to business needs to communicate with Chinese speaking colleagues in Asia); French language skills are a plus
  • Detail-oriented, well organized, with good sense of logic
  • Willingness to serve others and strong sense of ownership and team spirit
  • Proficiency in MS office, familiar with operating office equipment (e.g., printer, projector).
