Role Summary:
To perform scheduling and data entry duties operating the Computerized Maintenance Management Software (CMMS) and create and maintain accurate data records for facilities and equipment including 3rd party vendor scheduling and management.
Responsibilities
- Maintain Tenaya’s CMMS system and ensure the accuracy, completeness, and integrity of all data entered in the system.
- Update asset data, work orders, schedules, maintenance, and calibration records.
- Ensure that all maintenance and calibration activities recorded in the CMMS comply to regulatory and/or TENAYA’s policies.
- Generating, verifying, and tracking work orders to ensure timely completion.
- Acquire service and parts quotations and contract proposals from vendors.
- Communicate with equipment users on the availability of equipment to implement scheduled maintenance including vendor scheduling.
- Serve as the site contact for external service providers.
- Manage and update the list of equipment vendors and service providers.
- Work directly with TENAYA’s legal team in setting up new third party service providers.
- Work directly with TENAYA’s procurement team in processing purchase request and PO.
- Organize current inventories of critical spare parts.
- Organize and maintain equipment document files.
- Collaborate with Facilities manager to identify opportunities to enhance the functionality of the CMMS.
- Report to Facilities manager any issues encountered in maintaining the CMMS system.
- Perform minor maintenance tasks of limited scope and complexity following pre-established work plans with guidance from the Tenaya’s Facilities management.
- Serve as backup in conducting daily facility rounds with guidance from Facilities management.
- Support the monitoring of building and environmental automation systems with guidance from Facilities management.
- Adhere to assigned Standard Operating Procedures (SOP) and ensuring that training is up to date.
- Proactively promote and model health and safety behaviors to contribute to a safe workplace.
Requirements
- High school Diploma or technical degree related to Maintenance/field service service or related field.
- Minimum 2 years of experience working with CMMS.
- Experience in Blue Mountain Regulatory Asset Management CMMS is a big advantage.
- Working experience in a regulated industry is preferred.
- Strong computer skills and working knowledge of MS Office, MS TEAMS, and applications.
- Some technical abilities working with equipment and facility.
- Basic knowledge on preventative maintenance and calibration.
- Self-motivated, able to function independently with minimal supervision in a fast-paced environment.
- Strong organizational skills and the ability to prioritize tasks.
