Expeditions Operations Assistant
The Expeditions Operations Assistant will support the Expeditions team to ensure strong and compliant operations for the Expeditions program.
The Expeditions Operations Assistant will lead on responsibilities related to compliance, logistics, and resource/project management. During the summer, responsibilities will focus on learning the team’s compliance needs, preparing to train teachers on logistics and compliance tasks, archiving/organizing the school year’s Independent Learning documents, and creating student-facing training materials.
During the fall, the Expeditions Operations Assistant will work to ensure a compliant launch, including management of student contracts and training students on compliance requirements. Other tasks throughout the year will focus on attendance compliance by managing student time cards and attendance, as well as providing support to teachers on field trips. The Expeditions Operations Assistant will begin the annual contracting process with students in the springtime for the following year.
This is a full-time role with flexible hours and location, with site-based work days as needed by compliance deadlines and student support needs; this occasionally includes timecard and attendance reporting deadlines to be completed over weekends. This is an excellent opportunity for an individual who has a passion for education, is enthusiastic about project management and operations, and has a keen eye for detail.

Summit’s Expeditions Program:
The Summit approach to elective courses - in the form of Expeditions - is unique. Expeditions occurs at each school site four times throughout the year in two-week intervals. Students take a morning and afternoon course every day for two and a half hours each for a daily, immersive experience in the area of study that they would like to explore or already have a passion for. They continue this exploration for each two-week Expeditions interval in a school year.
The Expeditions faculty is the team of teachers who rotate through four school sites for the year, leading two sets of students at each school through this immersive experience for two weeks, and returning to that group four times each year.
What You’ll Do:
As the Expeditions Operations Assistant, you will work alongside experienced education operations professionals in a school setting to fulfill the following tasks:
Operations & Compliance Management
- Independent Learning Attendance Compliance
- Understanding student eligibility
- Collecting stakeholder contact information
- Managing contract deployment in HelloSign, monitoring contract completion, and documenting in a master tracker
- Following up with student, parent, mentor and supervisor as needed
- Ensuring follow through and compliance with fingerprinting and TB testing
- Obtain and file contracts for independent learning students - this includes:
- Ensure timely submission of timecards, record attendance, and meeting attendance/reporting deadlines
- Collect, grade and archive work samples as “evidence of work”
- Lead or participate in campus-based trainings for student timecard submission
- Meet with students and/or mentors and/or parents when compliance paperwork is consistently being submitted late or incorrectly
- Operations and Compliance
- Support teachers in observing org-wide protocols for planning field trips and off-campus learning opportunities, creating a weekly digest of field trips, and ensuring compliance related to permission slips and driver forms
- Support teachers in planning overnight trips and submitting proposals for board approval
- Manage Expeditions Chalk account, tracking received permission slips, and maintaining an organized Google Drive archive of permission slips
- Support with scheduling by auditing rosters for equitable student enrollment and performing any course changes approved by directors and logged in a central course change tracker (Sept/Oct)
- Transcript Maintenance
- Work with Expeditions Directors and Director of College Readiness to ensure that courses appear correctly on student transcripts (Nov/Dec of each year and May/June)
- Website and information
- Support the Independent Learning Coordinator to update Expeditions internal and external websites (Summer)
- Collaborate with Expeditions Director and Deans as needed
- Check in weekly with Expeditions Director
- Support the Expeditions team in maintaining positive collaborative relationships with the Operations team and the site Operations staff.
What You Need:

- Prior School and/or Operations Experience is strongly preferred.
- Proficiency in Google Platforms, including Google Drive, Google Sheets, Google Docs, and Google Slides.
