Strategic Project Partners (SPP) is an emerging strategy and general management consulting firm. Established in 2005, we work with clients across Education & Research, Consumer & Retail, Government and Financial Services sectors. We are known for providing the highest quality commercial and strategic advice. The firm has offices in Melbourne and Sydney, with a growing presence in Brisbane. 

 

SPP is looking for a dynamic Executive Assistant to support our Senior Partner, Ben Apted.  The successful applicant will join our high performing Corporate Services Team. This is an exciting and multi-faceted role and suitable to someone who is energetic, creative, can multi-task and make an impact. Applicants should be experienced, efficient and intuitive with outstanding interpersonal skills.

KEY DUTIES 

 Position Responsibilities and Accountabilities 

  • Provide a high level of administrative assistance to Senior Partner. You will be viewed as an extension of the Partner and required to take initiative in actioning tasks and maintain relationships.  
  • Developing and maintaining relationships with key clients, being across all projects related to the Senior Partner and at times stepping in to brief staff on projects needing to be completed.   
  • Coordinate relevant appointments and manage diary, keeping tasks, diary, follow-ups up to date.  Utilise Microsoft Planner to ensure effective communication, scheduling and follow up of activities. 
  • Manage and coordinate all board, committee and personal commitments.  
  • Manage, action and prioritise emails. 
  • See tasks through to completion without prompting/reminders. 
  • Arrange travel and accommodation. 
  • Prepare correspondence and documentation including drafting and distribution of emails, and PowerPoint / word reports. 
  • Coordinate meetings including booking meeting rooms, organisation of catering, note taking and distribution and preparation of any meeting materials. 
  • Liaise with clients in a prompt, courteous and effective manner, ensuring a high level of customer service is provided.
  • Maintain accurate and efficient information storage and filing systems including uploading of documents to the Knowledge Management System and adding new contacts, opportunities and pipeline to CRM database. 
  • Assist with the production of proposal and tender documents. 
  • Manage Senior Partners LinkedIn and Sales Navigator. 
  • Work with Finance Manager to assist with monthly financial procedures including expenses and reconciling credit cards. 
  • Provide light support on a range of other Corporate Services activities including organising and planning annual staff social events, EOFY activity, annual offsite and Christmas Luncheon. 

Organisational Responsibilities 

  • Ability to maintain confidentiality. 
  • Ensure all documents are created, stored and maintained in accordance with the firms electronic Document Management system requirements. 
  • Always represent SPP in a responsible and professional manner. 
  • Always comply with policies and procedures of the firm. 
  • Properly organise and manage working time to ensure efficient productivity.
  • Perform other duties as directed that fall within the scope of the position or the incumbent’s knowledge and skill base. 
  • Assist with office management duties as part of the core executive assistant team. 

 

QUALIFICATIONS AND EXPERIENCE Essential 

  • Minimum 5 years’ experience in a similar role is essential. 
  • Extensive experience with CRM platforms, videoconferencing, and Microsoft 365. 

Desirable 

  • Undergraduate degree  
  • Experience within a professional services environment 

 

HOURS OF WORK 

  • Full-time, 8:30am to 5:30pm is preferable although by negotiation for suitable candidates. 
  • Some after-hours work may be necessary from time to time to meet business requirements. 
  • SPP are currently working remotely and will adapt to a hybrid working environment post restrictions. This role will be required to be in the office 3-4 days per week.

  • Demonstrated experience in providing high quality administrative support to a senior level. 
  • Demonstrated high level initiative and strong organisational skills with attention to detail and the ability to identify improvements, determine priorities, multi-task and effectively and efficiently meet deadlines. 
  • Well-developed interpersonal and communication skills, including strong written skills and the ability to work effectively in a team. 
  • Proven ability with keyboard and computing skills including Office 365. 
  • Demonstrated ability to identify and provide solutions to a range of operational issues. 
  • Demonstrated capacity to work with minimal supervision. 
  • Be part of the Corporate Services Team which provides operational service to the firm.
