Spotnana is looking for a proactive, upbeat, and highly organized Executive Assistant to support our co-founder & CTO. He is looking for an extraordinary EA to be integral in building Spotnana. The role includes everything you’d imagine as an EA but likely a lot more. The right candidate will have fine tuned their ability to exercise sound judgement in a vast range of situations. They are capable of prioritizing and managing multiple projects in a dynamic, ever-changing environment, and are a natural self-starter with strong administrative skills.

Responsibilities 

  • Provide sophisticated calendar management. Proactively resolving calendar conflicts, ensure the CTO’s time is spent on the most impactful and important matters as designated and that he is prepared for all meetings.
  • Acquire in-depth knowledge of the engineering team and company operations in order to become a trusted advisor for the leadership team to proactively coordinate meetings and logistics.
  • Assist the CTO in scheduling, coordinating and preparing for meetings. Planning ahead to anticipate needs and initiate action with limited direction and astute judgment.
  • Plan and manage complex travel arrangements including air, hotel, car arrangements and plan itineraries as well as other scheduling; proactively identify efficiencies for travel. 
  • Complete expense reports accurately and in a timely manner.
  • Ensure the CTO is available to direct reports and employees when needed.
  • Act as a liaison for the CTO’s direct reports and stakeholders in the broader organization, ensuring that matters are managed with an appropriate level of discretion.
  • Drive key team activities (ie,staff meetings, all-hands meetings, off-sites & supply ordering)
  • Build strong relationships at all levels of the organization and manage a variety of special projects when asked
  • Perform other duties as assigned

Qualifications 

  • Associate’s degree or equivalent experience.
  • 5+ years of experience assisting at the executive level with direct experience supporting a CTO, CEO, CIO, CISO or C-level executive in a fast paced technical environment.
  • Superior organizational and prioritization skills; great follow through on action items and works well in a fast-paced evolving organization and able to pivot when the priorities shift.
  • Proficient in G Suite and Microsoft Office.
  • Exemplary written and interpersonal skills. Must exercise excellent judgment and diplomacy in all interactions

  • Strong analytical and problem solving skills, proactive approach to the job with a passion for making other’s jobs easier through anticipating needs
  • Preference for candidates physically located in the south bay area
