THE ROLE

The Logistics Support Manager supports the VP, Head of Logistics & Auction Operations by managing administrative tasks and leading special projects within the logistics department. The logistics department oversees the handling of artworks and objects from initial receipt, exhibition within the auction house and release to the buyer. This role is integral to maintaining efficient operations and ensuring adherence to budgetary guidelines. It offers an excellent opportunity for individuals interested in gaining valuable experience in the business aspects of the auction industry.

RESPONSIBILITIES

  • Coordinate and order supplies for the Logistics Team ensuring timely delivery and cost-effectiveness.
  • Review and process invoices for goods and services related to logistics operations ensuring accuracy and timely processing to maintain positive vendor relationships.
  • Assist the VP, Head of Logistics & Auction Operations, US in managing Logistics expenses and monthly budgets, collaborating closely with the Finance team.
  • Monitor departmental expenses throughout the year and identify trends to assist in the forecast and budget planning process.
  • Compile and analyze financial data to support decision-making processes.
  • Support Logistics Manager, and Gallery & Exhibitions Manager in scheduling Property Handler weekly overtime.
  • Assist with Payroll Queries relating to Property Handler overtime collaborating with Payroll to ensure accuracy and resolve issue promptly.
  • Update and Maintain Monthly and Weekly Key Performance Indicator (KPI) Logistics Reports, identifying trends and areas needing attention, for example, where Service Level Agreements (SLAs) are not met or there are abnormal workloads.
  • Support special projects initiated by the VP, Head of Logistics & Auction Operations or executive management, for example, data gathering to support plans for upcoming move to the Met Breuer building.
  • Act as project manager on tasks to be executed by Logistics Manager, and Gallery & Exhibitions Manager to ensure that projects are completed withing established timeline and budget.
  • Perform general administrative tasks including correspondence, scheduling meetings, and managing departmental records.

IDEAL EXPERIENCE & COMPETENCIES

  • Bachelor’s degree in Business Administration, Logistics, Project Management or related field preferred.
  • Proven work experience in office management, logistics coordination, or similar administrative roles.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficiency in Microsoft Office Suite, Google Sheets and SAP.
  • Display a positive attitude and adhere to Sotheby's Service Standards.
  • This role operates in a professional office environment and may occasionally require presence in warehouse or gallery spaces.

The salary for this position is $65,000 to $70,000 per annum. Employees in this role may be expected to work overtime on evenings and weekends.In addition to base salary successful candidates are eligible to receive a discretionary bonus, as well as a competitive benefits package. Salary offers are based on a wide range of factors including relevant skills, training, experience, education, and, where applicable, licensure or certifications obtained. Market and organizational factors are also considered.
