Job Summary:
We are seeking a highly organized and detail-oriented individual to join our team as an Office Coordinator. As the Office Coordinator, you will be responsible for managing the day-to-day operations of our office and providing support to ensure a smooth and efficient workflow. You will serve as a central point of contact for employees, clients, and visitors, and your excellent communication skills will be essential in coordinating various office activities. This role requires strong organizational abilities, exceptional multitasking skills, and a proactive approach to problem-solving.
This role is based onsite at our San Francisco office location and will start as a 6-month contract engagement, with 10-15 hours per week.
What you will do:
- Office Management: Oversee the overall functioning of the office, ensuring a clean, organized, and productive environment.
- Administrative Support: Provide administrative assistance to executives and staff members, including scheduling appointments, managing calendars, and handling correspondence.
- Front Desk Operations: Serve as the primary point of contact for visitors,, receive and distribute mail/packages, and maintain a professional and welcoming office area.
- Facilities Coordination: Coordinate office maintenance, repairs, and renovations, liaise with vendors and suppliers, and ensure proper functioning of equipment and facilities.
- Supply Management: Monitor inventory levels of office supplies, order new supplies as needed, and ensure proper allocation and distribution of resources.
- Compliance: Ensure compliance with company policies, procedures, and regulations, and assist in the implementation of new policies and initiatives.
What you will bring to SmithRx:
- High school diploma or equivalent; bachelor's degree preferred.
- 2+ years experience in office coordination, administrative support, or a similar role required.
- Strong organizational and time-management skills, with the ability to prioritize tasks effectively.
- Excellent communication skills, both written and verbal, with a professional and friendly demeanor.
- Proficiency in using office software and tools, such as Microsoft Office Suite (Word, Excel, PowerPoint) and scheduling/calendar applications required
- Attention to detail and accuracy in performing tasks.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Proactive problem-solving skills and ability to work independently.
- Flexibility to adapt to changing priorities and handle multiple projects simultaneously.
