We have a ~30 person distributed team and are newly hiring in Newport Beach. We're building a sales-focused office that will be the future Headquarters of SingleSprout (currently ~16 and counting!). We are seeking a versatile and efficient Business Ops to support our Founders and Senior Director of People. This role is critical for both driving business growth through development and partnerships, as well as ensuring smooth office operations and administrative efficiency. The ideal candidate is tech-savvy, thrives in a fast-paced environment, and possesses a strong ability to multitask across diverse roles including, data organization, office management, and executive support.

Responsibilities:

  •  Business Development & Partnership Engagement:
    • Send e-mail outreach initiatives to potential clients and candidates, leveraging a deep understanding of the VC, tech, and recruitment landscapes to identify and capitalize on business opportunities.
    • Communicate via email with executive recruiters and venture capitalists to share new marketing material 
  • Candidate Lead Generation and Management:
    • Develop and maintain a systematic approach for external talent scouting using the Free Talent Email initiative, focusing on finding candidates, conducting outreach, handling responses, and providing feedback.
    • Facilitate introductions between potential candidates and internal teams, ensuring efficient communication and scheduling to support hiring objectives.
  • Data Organization:
    • Maintain and regularly update critical databases, including emails, lists of venture capitalists, executive contacts, and client information, ensuring accuracy and accessibility.
    • Utilize CRM tools to organize and track interactions, feedback, and outcomes related to business development and recruitment efforts.
    • Continuously update and refine "The Client Way," our approach to client interactions, aimed at enhancing client satisfaction and retention.
  • Office Management
    • Be in office (in Newport Beach) 4 days a week (seldomly will be 5 days a week)
    • Manage all vendors associated with the service they provide for office 
    • Manage new orders needed for the office.
    • Oversee daily operations, ensuring all administrative tasks are completed efficiently.
    • Welcome new hires and provide an introduction of everything we offer in the office
    • Support employees for any office-related task
  • Administrative Support
    • Provide direct administrative support to Cofounders, including managing calendars, arranging meetings, and preparing documents.
  • Technical Support and Miscellaneous Tasks
    • Set up computers, troubleshoot technical issues, and ensure optimal setup for new employees.
    • Perform any other office-related tasks as needed to support business operations.

Qualifications:

  • BS Degree
  • Executive Assistance and office management experience
  • Exceptional organizational and multitasking skills.
  • Proficiency in G-suite, particularly Google Sheets. 
  • Excellent interpersonal and communication skills, capable of working with diverse teams.
  • Ability to handle multiple responsibilities simultaneously and adapt quickly to new challenges.
  • Strong problem-solving skills and a proactive approach to office management.

Compensation: 1st year base of $80,000-$110,000 depending on experience with potential of end of year performance bonus
