Job Overview

Sightline Media is looking for a highly organized and motivated Trade Show Manager to lead the planning and logistical operations of domestic and international trade shows and expositions focused on the US and global defense markets. The position will forge and nurture key relationships with trade show organizers and various partners. The Trade Show Manager also supports the marketing team on the execution of conferences and other live events. 

A track record of planning and running conferences, events and exhibits is required. Experience working on international events and expos, with knowledge of international freight, customs and other pertinent regulations highly preferred

Job Requirements

  • Manage trade show logistics including but not limited to booth selection and production, liaising with show organizers on booth and team requirements, materials and other items
  • Create and maintain trade show and events master calendar including planning & tracking documents which include schedules, deliverables, milestones and deadlines
  • Travel to trade show locations and lead booth install, de-install and on-site booth management
  • Coordinate and act as primary interface with vendors, trade show booth companies, hotels, shipping partners, etc
  • Manage accurate budgeting and overall trade show P&L; provide regular reporting
  • Manage payments and purchase requisitions for all trade shows; negotiate pricing and contracts with vendors; coordinate with the finance team to ensure accurate invoicing and timely payment processing
  • Manage all trade agreements with partner organizations with the goal of expanding distribution and reach of Sightline’s products and bartering for cost of trade show participation
  • Work with marketing on trade show booth design, promotions and trade show related communications
  • Assist marketing on the execution of non-trade show events
  • Assist the circulation and audience development team on distribution events and promotions
  • Travel domestically and internationally (40-50%)


  • Bachelor’s degree
  • 3+ years experience in trade show or event planning dealing with complex logistics
  • Must possess excellent interpersonal & communication skills with both internal and external contacts
  • Candidates should be a team player and be able to contribute to a positive work environment
  • Ability to work independently and take initiative in problem solving and decision making
  • Excellent attention to detail
  • High-level organizational and time management skills; PMP a plus
  • Ability to manage multiple events and multiple partnerships simultaneously
  • Ability to work and adapt under moderate pressure and hard deadlines.
  • Prior experience in government/defense industry trade show event planning preferred
  • Experience working on international events and expos, with knowledge of internal freight, customs and other pertinent regulations highly preferred
  • Bilingual applicants (French or other Latin-based languages) a big plus
