The Program Management Administrator holds a pivotal position within the Program Management Office (PMO), a dynamic entity dedicated to ensuring the successful execution of Shift4’s strategic initiatives. The PMO team oversees customer-facing enterprise programs, internal initiatives, M&A integration projects, and other high-visibility programs. Reporting directly to the VP, Program Management Office, We are seeking a candidate with a versatile skill set, including administrative and/or executive assistant experience, exceptional communication abilities, and the drive to excel in a fast-paced, collaborative team environment.
The PMO team fosters coordination and synergy across the entire Shift4 organization. This role demands strong organizational skills to manage the back-office functions crucial for the PMO's success.
Your role in our mission:
Execution Support:
- Coordinate and schedule meetings and travel arrangements for program team members
- Manage travel and expense reports for PMO leadership
- Maintain and update PMO Team and individual calendars
- Compile, summarize, and distribute updates from management reviews
- Facilitate weekly status reporting and prepare for monthly reviews across the PMO team
- Maintain and update internal programmatic metrics dashboards
- Coordinate the maintenance and review of PMO documentation
- Continuously assess and improve processes and procedures to optimize efficiencies
- Identify opportunities for change and process enhancement within the PMO and supported functional areas
Qualifications:
Required
- Minimum of 3 years of relevant experience
- Ability to adapt to changing business priorities in a fast-paced, high-growth environment
- Exceptional ability to work independently and collaboratively as part of a team
- Excellent verbal, written, and presentation skills
- Previous experience as an Administrative and/or Executive Assistant to company leadership
- Proficiency in Microsoft and Google applications
Desired
- Proficiency in Concur, Smartsheet, Monday.com, and Microsoft/Google tools (PowerPoint, Excel, Sheets, Slides)
- Experience working with Program Management organizations

- Hybrid work schedule requiring at least four days in the office per week
- Ability and willingness to travel as-required (<10%)
