POSITION OVERVIEW

 

Sensei is seeking a highly skilled Retreat Assistant and Experience Specialist to join our team. In this dual role, you will work in two departments within the retreat.  

 

As Retreat Assistant, you will work with the Spa Manager to provide administrative support in inventory, purchasing, receiving and other duties as assigned. The Retreat Assistant will also facilitate evening hale experiences by greeting guests upon arrival, conducting a hale orientation and coordinating with in room dining on amenity deliveries. This position will also provide overall retreat support to spa and wellness spaces by readying and maintaining spaces for guest treatments and activities by delivering and replenishing supplies, products, linens and other supplies. The Retreat Assistant will also provide any other assistance massage therapists may need to prepare for their guests. The Retreat Assistant will report to the Spa Manager. 

 

As Experience Specialist, you will be responsible for managing the guest experience by making in stay itinerary changes and handling daily guest movement. You will provide insight and feedback based on information gathered through various guest interactions. This position works frequently with Four Seasons Retreat Host Team, Sensei’s Pre-Arrival Team and Sensei Guides to manage guest itineraries.The Experience Specialist will report to the Director of Operations. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:  

 

Retreat Support – Spa Manager Administrative Support 

  • Receive purchase orders, process as received, update inventory log and organize in storage. 
  • Work with Spa Manager to determine par levels for all inventory. 
  • Conduct monthly inventory counts. 
  • Meet with Spa Manager monthly to report inventory needs and recommend purchase requests needed to restock. 

Retreat Support – Evening Hales 

  • Open and stage hale for guest hale experience. 
  • Coordinate with in room dining on amenity delivery. 
  • Greet guests upon arrival, conduct a hale orientation and ensure guest is familiar with how to operate all hale features. 
  • Exit the guest and reset the hale. 

 

Retreat Support – Spa Spaces 

  • Check daily schedule to determine hales needing support and plan accordingly. 
  • Open hales for morning and afternoon appointments and provide any other assistance massage therapists may need to prepare for their morning starts. 
  • Replenish hale pantry needs (products, robes, etc.). 
  • Ensure uniforms are dropped off and picked up in a timely manner.  
  • Process laundry (organize clean linen, fold and deliver to hales). 
  • Maintain organization of linen storage room. 
  • Assist in upkeep of retreat support van (gas, washing, maintenance). 
  • Maintain a constant awareness of messages from the team requesting additional hale support. 
  • Provide therapist help as needed. 
  • Clean and sanitize treatment areas as needed.
  • Exit guests from hales as needed. 

Retreat Support – Wellness Spaces 

  • Assist with the tidying of the exercise pavilion, movement studios and yoga pavilion. 
  • Restock exercise pavilion with towels, cold towels, cups and tangerines. 
  • Pick up tangerines from the security office as needed. 
  • Report maintenance issues to the Manager on Duty. 

 

Experience Specialist: 

  • Track daily arrival and departures times. 
  • Welcome and greet guests upon arrival.  
  • Collaborate with the Sensei Pre-Arrival team to ensure a smooth pre-arrival process. 
  • Act as point of contact for guests who need assistance or information regarding programs and services.  
  • Assist guests with itinerary building and adjustments throughout their stay.  
  • Maintain guest service standards and demonstrate engaging, courteous, articulate. 
  • Collaborate with the Sensei Guide Team to support guests booked under Sensei Wellness Packages.  
  • Manage intradepartmental communication to inform, update and follow-up on guest needs. 
  • Proficient in the Sensei Way, Retreat offerings and weekly activity calendar.  
  • Knowledgeable about staff schedules and practitioner proficiencies in various modalities. 
  • Coordinate daily with Four Seasons Front Desk to schedule off property activities.
  • Track Daily Guest Movement 
  • Leadership – Maintain a positive, upbeat role, promote and exemplify Company values and represents departmental objectives and interests to internal and external customers 
  • Customer Service – Follow up on complaints, questions, and concerns; respond to internal/external customer needs in a friendly, timely and efficient manner 
  • Teamwork - Develop and promote teamwork and cooperation among co-workers 
  • Safety – Comply with established safe work practices and attend to all safety-related training provided or made available by the Company. 
  • Other duties as assigned 

 

 

QUALIFICATIONS

Qualifications

  • At least 6 months to 2 years prior experience working in a guest facing Luxury hospitality Environment,  front desk, Reservations  is a plus.
  • Ideally experience in computer, reservations, and itinerary systems. Literate in software packages such as Microsoft Office, Book4Time or other spa booking systems, Opera or other PMS software, dining reservations systems,  and Outlook.
  • Incredibly organized, with ability to communicate effectively with guests and co-workers through verbal and written methods.
  • Ability to pay close attention to detail with minimal supervision.
  • High commitment to guest satisfaction and service including maintaining a courteous and professional manner and a positive attitude, exhibiting a willingness to help, and promoting positive interactions with guests.
  • Ability to proactively sell products and services, comfortable with upselling.

 

Education and/or Experience 

  • High School Certification
